What You Will Do

Join the Dynamic Experiments (M) Division team! We are responsible for executing and developing explosive science and shock physics programs through the fabrication and application of energetic materials and use of large-scale research gun systems. Dynamic Experiments produces and certifies large scale high explosives components and conducts high explosive science and shock physics experiments and modeling, studying dynamic-system and material response.

As a Professional Staff Assistant, you will support the Dynamic Experiments Division Office (M-DO) and provide expert-level administrative support for business, operational, and/or programmatic activities. Reporting to the M-DO Staff Operations Manager, you will partner in creating a team environment marked by close cooperation, adaptability, and a willingness to provide support where needed while serving as a point of contact, resource, and role model for other administrative staff in M- Division. Under established supervision, you will assume responsibility for demonstrating accuracy, attention to detail, initiative, and versatility. Select candidate will be responsible for coordinating complex wide events such as the High Explosives (HE) Safety Days seminars and facilitating tours and visits within the HE areas. The Professional Staff Assistant must be a motivated performer and problem-solver, who can anticipate challenges and obstacles and tactfully resolve them. Critical thinking and follow through, along with excellent oral and written communication and customer service skills, are a necessity for this role.

What You Need

Minimum Job Requirements:

Professional Level Administrative Support

Demonstrated experience providing high-level administrative support in a busy environment requiring policy and document management, procurement, property management, meeting /logistics, visitor processing, webpage maintenance, facility service request management, time keeping, tracking action items, and generating and reviewing internal and external correspondence. Utilization of tact, diplomacy, and discretion in handling sensitive protected personnel related and confidential information. Experience with solving problems, development, and implementation of solutions to complex issues, and innovating business practices to ensure customer satisfaction at all levels.

Organization and Time Management and Scheduling

Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Ability to provide administrative support and facilitation for multiple schedules, including managing calendars, organizing meetings, travel arrangements. Proven record of dependability, availability, attendance, and punctuality.

Leadership

Ability to work independently and to take initiative and ownership of multiple and conflicting complex issues in a manner that fosters institutional values and customer satisfaction. You will be responsible for collaborating with Weapons Engineering administrative staff, and for M Division, improving administrative processes, mentoring less experienced staff, and ensuring compliance with safety and security regulations. Ability to lead administrative activities by recognizing, researching, and implementing business process improvements, to meet initiatives and milestones. Proven history of partnering with peers to accomplish cross organizational projects.

Teamwork

Ability to work collaboratively in support of the team/mission. Willingness to provide support wherever needed in a fast-paced customer service-oriented environment. Participating and leading special projects; and serving as a resource for staff and managers regarding established policies and procedures.

Communication

Excellent interpersonal, oral, and written communication skills and a record of managing conflict constructively. Experience creating professional documents, presentations, and utilizing internal business systems for data entry and tracking. Demonstrated professionalism and ability to interact effectively with all levels of internal and external customers, including networking with senior personnel and stakeholders.

Business Systems

Expert-level knowledge and experience of Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) Google Docs, SharePoint, and video conferencing tools such as Webex and Microsoft Teams, Oracle business systems, Concur and Ariba.

Data Management and Reports

Experience conducting research and assembling data for assigned reports, presentations, and/or planning documents, assisting in the analysis, design, and implementation of business, operational, and/or programmatic initiatives to ensure successful completion of organizational objectives. Ability to develop and maintain electronic and hard copy filing systems.

Education and Experience Requirements: Position requires a bachelor's degree and 2 years related experience; or an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.

Desired Qualifications:
  • Knowledge of the Laboratory's organizational structure and administrative policies, practices, and procedures.
  • Experience serving as a Professional Buyer.
  • Experience serving as a Classified Matter Custodian (CMC).
  • Applicants must currently hold, or have the ability to obtain a Q clearance, which normally requires U.S. citizenship.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
