BACKGROUND - STRATEGIC INITIATIVES:
A key component of UWBC's investment in community focuses on ensuring children and youth reach their full potential and grow up to be healthy, happy and resilient. To achieve this goal, strategic initiatives include investments in building capacity and systems level change in early childhood, strengthening Community Schools, providing vulnerable children access to high quality after school programs, developing leadership and job readiness capacity for youth experiencing barriers to employment, and ensuring that former youth in care have access to post-secondary education.
JOB PURPOSE:
This position provides program, operations, communications and administrative support and coordination on a variety of initiatives and projects. This position will play a role in maintaining resources and supporting communication for practitioner and participant communities of practice and will assist the Manager in all aspects of the program. This position assists in the coordination, development, implementation and evaluation of program plans. Additionally, the incumbent in this position may travel to various communities to gather and deliver program information and respond to the needs of the various stakeholders and may be asked to be a public face of the program with limited stakeholders in the absence of the Manager.

This is a bargaining unit role with CUPE Local 1760. This position is at pay grade 36, which is $80,467.14 annually.
Candidates must live within 60 KMs (commuting distance) from our office as this position is currently a hybrid role and office attendance is required.

SUMMARY OF DUTIES AND RESPONSIBILITIES:
Key Responsibility Area: Strategic Initiatives
- Facilitates the relationships between community stakeholders and UWLM's strategic initiatives
- Facilitates and assists with administration of elements of Avenues of Change, Community Schools, School's Out, Youth Future Education Fund and Future Leader programs and associated events.
- Project manages events and initiatives such as consultations, Communities of Practices and annual conferences. Working in connection with other departments
- Reconciles program budgets and identifies to the Manager potential risks and mitigation strategies
- Acts as the Manager's delegate at meetings. Will prepare for and present at meetings accordingly
- Travels within the Lower Mainland to assist in a variety of tasks related to deliverables of the program, including the implementation of the programs project plans will be required on a limited basis
- Performs other duties related to the qualifications and requirements of the job
- Participates on Community Project Team(s)
Key Responsibilities: Processes and Timelines
- Assists with development of annual activity timeline in consultation with Department Management Team. Monitors timeline to trigger next steps and for course correction
- Identify processes requiring revision and recommend solutions. Assist the Department team in understanding and applying procedures introduced or revised
- Documents project specific procedures or guidelines to support team and organizational strategies
- Liaises with multiple departments to provide the perspective of the project or team they represent to operational activities and procedures and ensure smooth operations
- Proactively review internal processes, operations and workflow or projects to recommend improvement areas to Management
Key Responsibilities: Activity & Financial Analysis and Monitoring
- Assist management in identifying and establishing criteria for reports, dashboards documentation and other outputs needed for department or project operations to operate effectively
- Management of documented guidelines, processes and instructions
- Assist management team with the development of KPI/scorecards
- Review content of reports and tools based on feedback and operational and management needs. Working with IT for necessary updates
- Provides weekly monitoring of activity and/or financial performance to identify significant variances/errors from week to week. After review, flags questions, concerns and follow up with management and staff directly
- Provides weekly monitoring of activity and performance of relevant vendors. After review, flags questions, concerns and follow up with management for actioning
- Work with staff to maximize opportunities and minimize the risks
- Review financial forecasts/KPIs to ensure they accurately reflect activity and plans for reporting to the management team. Identify early trends/concerns for early action or intervention by management
Key Responsibilities: Project Management
- Acts as a single point of contact for project setup and implementation. Consolidates and manages requests
- Reviews and updates the related materials including data file templates, data requests, research and training manuals
- Provides demos and training for the department on projects as needed
- Working with other departments supports the successful roll-out of projects to stakeholders including communications plans, timelines and timely data captures
- Assists project lead with project scoping briefs and requests for quotes
- Provides help desk support for internal and external users of tools related to the projects
- Reviews and monitors projects to ensure reporting requirements, continuation and potential growth avenues are evaluated and adjusted as needed
- Reviews projects and facilitates the bringing in of revenue
- Proactively identifies opportunities that would benefit from project coordination
General
- Depending on departmental needs, provides supervision of Support Team members
- May plan and direct the work of the Support Team staff up to a max of 3 people
- Performance other duties related to the qualifications and requirements of the job
QUALIFICATIONS & REQUIREMENTS:
Education:
- Two-year diploma in an applicable discipline (eg. business, economics, statistics, etc.) or discipline related to the hiring department
- Project Management certification would be an asset
Experience:
- Two years' experience with project management preferred
- Deep understanding of expanded learning systems and systematic approaches to supporting children and youth
- Working with volunteers and diverse community groups
- Experience in community outreach and event planning
- A high level of comfort in interfacing and presenting in public forums
- Experience in developing promotional material and supporting non-profit agencies
Skills:
- Ability to manage multiple projects, activities and tasks simultaneously. Ability to manage and meet deadlines in a dynamic environment by adapting and modifying the sequence of work, methods and standards to meet changing conditions.
- Extremely detail oriented and organized
- Ability to work with staff and stakeholders at all levels is required. Supervisory skills an asset
- Excellent written and oral communication skills. Ability to communicate complex data (including key insights and recommendations) in an understandable manner to a variety of audiences and organizational levels
- Excellent analytical, organizational and time management skills
- Professional presentation skills
- Experience in researching, organizing, analyzing, and presenting data for management use
- Strong ability to consider various options and determine the best course of action
- Strong interpersonal skills with the ability to contribute to developing a successful team environment
- Knowledge related to community development or/and philanthropy is an asset
- High degree of proficiency in the use of databases, spreadsheets, project management tools and word processing and a high degree of familiarity with the Microsoft Office suite of products
WORKING CONDITIONS:
- Must have a valid BC Driver's license and access to a vehicle
- This role will attend program sites, travel for meetings, and have a flexible work schedule
