Job Summary:

The PMO (Project Management Officer) plays a pivotal role in ensuring the efficiency and effectiveness of project management operations. Key responsibilities include managing and maintaining project governance frameworks, supporting project delivery, and ensuring alignment with organizational goals. Collaboration with project managers and stakeholders is essential to optimize project outcomes and overall organizational performance. Additionally, the PMO leads the development and implementation of project management methodologies, supports portfolio management, and compiles critical information for executive reviews. This role also involves building, running, and maintaining essential project management KPIs and dashboards.

Essential Functions and Responsibilities:
  • Oversee and improve the project management process, ensuring alignment across the organization and driving continuous improvement initiatives.
  • Manage project governance activities to optimize project delivery and overall organizational efficiency.
  • Develop, monitor, and maintain critical project management KPIs and dashboards to track performance and identify areas for improvement.
  • Support portfolio management by providing accurate data and analysis, ensuring that project planning aligns with organizational capabilities.
  • Lead the project review process, coordinating with various departments to ensure alignment with overall business goals.
  • Compile and present key information for executive reviews, facilitating informed decision-making at the executive level.
  • Drive efficiency by evaluating all project management processes, making recommendations to increase project success rates, reduce costs, and streamline project delivery.
  • Identify and troubleshoot project management issues, utilizing root cause analysis (RCA) to prevent future occurrences.
  • Assess and address weaknesses in the current project management framework, developing and executing plans with a strong understanding of risk management.
  • Generate reports to help optimize project management in response to changing organizational needs.
  • Actively monitor project progress, anticipate risks, and recommend actions to ensure project continuity.
  • Analyze and anticipate market trends to determine the best timing for project initiation.
  • Ensure the organization maintains a steady flow of projects without overcommitting resources.
  • Suggest changes to project management practices to meet fluctuating demand levels.
  • Collaborate interdepartmentally to ensure well-rounded actions that meet all company needs.
  • Build and maintain strong project management partnerships with stakeholders and suppliers.
  • Perform other duties as required.

Required Knowledge, Skills, and Abilities:
  • Bachelor's degree in business management, Project Management, or a related field.
  • A minimum of 3 years of experience in project management, with a focus on PMO processes.
  • In-depth knowledge of project management methodologies, governance frameworks, and PMO processes.
  • Advanced analytical skills, with experience in data analysis and reporting.
  • Proficiency in project management software and tools, and in developing and managing KPIs and dashboards.
  • Strong business acumen and understanding of how project management decisions impact the overall organization.
  • Excellent written and verbal communication skills, with the ability to write and present detailed reports.
  • Proven ability to collaborate effectively across departments and lead cross-functional teams.
  • Ability to handle changing priorities, meet tight deadlines, and function successfully both as a team member and leader.
  • A willingness to travel occasionally as required.

Working Environment: The work environment includes both office settings and occasional visits to project sites. This role involves extended periods of sitting at a desk, working on a computer, and may include exposure to loud noises from project activities and moving mechanical parts.

Physical Demands: The role requires regular standing, sitting, walking, and using hands to type or handle equipment. Occasionally, tasks may involve stooping, kneeling, bending, crouching, and climbing stairs. The PMO may be required to push, pull, and lift up to 25 pounds on an occasional basis.
