License and Certification Qualifications: Valid Georgia driver's license required.

Education Qualifications: Bachelor's degree in related field required.

Experience Qualifications: Five years of experience in property or equipment inventories or a related field required. Experience with an automated property inventory tracking system for recording adjustments of fixed assets to financial systems preferred.

Skills Qualifications: Ability to plan, coordinate, and manage functions related to property asset management; ability to be customer service oriented to internal and external customers; strong organizational skills with the ability to manage multiple projects; ability to effectively manage personnel and related business and technical processes; effective written and oral communication skills; ability to use advanced spreadsheet and computer applications; knowledge of general accepted accounting principles; ability to represent Gwinnett County Public Schools in a positive and professional manner; strong computer skills with a working knowledge of Microsoft Office required; and knowledge of PeopleSoft preferred.

Primary Responsibilities: Manage staff and maintain furniture and equipment inventories for the school district while coordinating the disposal of school district surplus property.

1. Manage support of property management and inventory for all district locations.
a. Supervise staff and coordinate work schedules and project assignments.
b. Ensure Board policy related to property control is fulfilled.
c. Review and make recommendations on modifications, enhancements, and implementation of property and inventory control related systems and processes.
d. Maintain Key Performance Indicators (KPIs) of property inventory results and issue updates to be reported to senior school leadership personnel.

2. Supervise and organize the annual furniture and equipment physical inventory at all locations.
a. Organize and review the annual physical inventories performed by school personnel throughout the year.
b. Review and adjust the individual inventories for local schools and departments via the PeopleSoft Asset Management module as needed.
c. Assist local schools and departments in completing inventory counts.
d. Adjust inventories for stolen, missing, damaged items, donated, surpluses, or transferred items.
e. Ensure that computers and related items installed by a third party have decals and are added to the PeopleSoft Asset Management module for each site.
f. Track and update inventories of mobile classrooms.
g. Assign property tracking decals for qualified property item purchases and donated items.
h. Assist the Risk Management and Safety and Security Departments in notification or replacement of stolen, recovered, and damaged items.
i. Oversee physical inventory summary documents and lead briefing sessions with school leadership as needed.

3. Perform reporting/reconciliation functions for the PeopleSoft Asset Management system.
a. Responsible for the monthly closing of PeopleSoft Asset Management system, including generating the depreciation journal and related accounting entries.
b. Reconcile the Asset Management balances to the General Ledger monthly.
c. Coordinate with other accounting departments to research and correct any differences between Asset Management and the General Ledger.

4. Coordinate property inventory strategies and information with schools, offices, and departments.
a. Responsible for maintaining the schedules of property inventories with other divisional personnel.
b. Conduct property inventory control and PeopleSoft Asset Management training classes when required.
c. Prepare reports on inventory item counts, unaccounted property, annual totals, and Results-Based Evaluation System (RBES) results for department, divisional, and senior district leadership as is needed and/or required.

5. Perform other duties as assigned.
