Job Description
The primary role of Research Advancement (RA) staff is to support one or more functional areas within a College/School/Department by providing direct support to research investigators in the area of proposal preparation.
Academic units typically employ RA staff directly; however, administrative units as well as colleges, schools, and departments with emerging sponsored project portfolios may be supported by the RA staff employed and housed within Knowledge Enterprise (KE) Research Operations. Research Advancement staff also serve as liaisons across campus between colleges, schools, departments and research investigators in their interactions with KE Research Operations.
The primary role of KE Research Operations is representation of ASU as an institution with external sponsors. KE Research Operations is responsible for ensuring all externally sponsored research activities are compliant with federal, sponsor, and ASU guidelines and policies. KE Research Operations provides guidance to unit Research Advancement staff in fulfilling their duties relating to federal, sponsor and ASU guidelines and policies. To this end, KE Research Operations and unit Research Advancement staff form a partnership in support of the entire research enterprise at ASU.
This is a professional staff level position in research advancement and is distinguished from the RAA Sr. in that incumbents use professional concepts in accordance with University-wide and unit level directives to solve highly complex problems in creative and effective ways. Incumbents also typically possess a broad knowledge of all unit and University research administration functions and operations and can generally apply judgment and make decisions affecting function or procedures for which they are accountable.
Working Environment
Activities are primarily performed in a regular and climate controlled office setting subject to extended periods of sitting. The following also applies to the Working Environment for this position: Use office equipment including a desktop computer Lift up to 20 pounds Communicate to perform essential duties Work both independently and within a complex structured team Ability to interpret complex sponsor regulations. Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks. Exercises judgment within broadly defined practices & policies in selecting methods, techniques & evaluation criteria for obtaining results. Minimum Qualifications
Bachelor's degree in a related field. Seven years' experience in any combination of the following areas: proposal submissions, contract negotiation, grant and contract administration and financial administration, OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.

Pre-award
- Establishes, maintains, and performs unit level proposal development processes including: review of funding announcements, contacting sponsors for clarification of application guidelines, completion of administrative information according to sponsor guidelines, providing guidance to sub-recipients, education of unit investigators, completion of internal and external proposal and budget forms (in conjunction with the PI/Unit), management of cost sharing requirements, assistance drafting budget justifications, and assistance with post-submission action items requested by sponsors.
- Completes internal proposal process in ASU's Enterprise Research Administration (ERA) system, using information provided by PI/Unit and coordinating final review, signature, and submission by KE Research Operations.
- Performs pre-submission administrative review of proposals to verify and ensure ongoing compliance with all applicable regulatory and financial compliance requirements.
- In conjunction with and in support of KE Research Operations, provides assistance and support securing additional information during award agreement negotiations as necessary.
- Assists in establishing and following a process for hand-off to post-award staff prior to and/or at award time.
Post-award
- Acts as administrative resource to ASU investigators and KE Research Operations staff to resolve problems and correct errors in fund management.
- Establishes, maintains, and performs unit level award management processes, including: hand-off from pre-award staff prior to and/or at award time, award setup, transaction set-up and approvals, award change requests, monitoring and resolving compliance issues, expenditure monitoring, record retention, monthly account reconciliations, After-the-Fact Review Reporting, award close out, education of unit investigators, and training of unit staff.
- Reviews funding announcements, award documents, and other sponsor guidelines and proactively communicates key information and requirements to investigators and unit staff.
- Provides on-going guidance to investigators and unit staff regarding award terms and conditions, sponsor guidelines, applicable regulations, ASU policies and processes, and unit practices regarding the administration of award funds.
- Assists investigators with renewals and periodic reports for grant agencies.
