Position Purpose:

Directs and acts as liaison between the resort and the guest on all aspects of the written sales agreement between the resort and the client. Successful management and execution of events, in particular, servicing high profile clients, while providing direction to all affected departments. Maximizes revenues through effective negotiation of services and food & beverage.

EXAMPLE OF DUTIES:

ESSENTIAL FUNCTIONS
  • Supports the DOCS in the supervision and leadership of the conference service team.
  • Represents the resort in conjunction with Sales Department to potential clients in promoting sales, meetings/conventions and food and beverage services.
  • Honor negotiated contracts with existing sales clients.
  • Manages guest services via site visits; board meetings, menu tastings, and planning meetings for definite and potential groups.
  • Provides direction and supervision of meeting and/or catering logistics to affected departments and associates.
  • Manages guest relationships in a proactive manner relative to payment structure, room block management, food and beverage, function space rentals, incremental and affiliate revenue streams, performance damages and master billing process.
  • Analyzes guests' service, product needs and financial issues of in-house groups; authorizes on behalf of the Resort appropriate resolution of guests' concerns while maintaining profitability.
  • Prepares reports, correspondence and analysis relative to group activity i.e., activity checklist, call reports, forecast evaluations (including monthly forecasting), menu proposals, written guest correspondence, resume, report of convention and internal memos or communications.
  • Participates in internal and external meetings as determined by the Catering/ Sales Department, forecast, menu review, department, pre-cons, BEO and operational department pre shifts etc.
  • Participates in internal and external training and industry events; i.e., Guest Focus Meetings & Conventions, Front Line Leadership, CPR, ACOM Institute etc.
  • Participates in development and measurement of personal and team goals and action plans.
  • Assist in development and training and supervision of junior associates and administrative support. Participating in scheduling, task delegation and accountability measures and feedback.


Other:

Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the resort. Regular attendance in conformance with the standards, which may be established by Trump National Doral - Miami from time to time, is essential to the successful performance of this position.

Due to the industry that we are in a need will occur for each associate to provide "Lateral Service". Our goal is to ensure that we are maximizing customer satisfaction and as result there will be times when our associates in Operations will call upon us for support in order to ensure customer satisfaction occurs. When we are fortunate enough for this to occur, each associate will positively respond unless there is a chance that an opportunity resulting in dissatisfying a guest could occur. If this is the case the manager is to be notified and the level of support that is being requested will be obtained.

SUPPORTIVE FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of the following other duties, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.
  • Oversees and assists in the physical movement of resort or client equipment or furnishings as necessary to complete a tight turn-around of public function space.
  • Assists guests with the set-up of their event in the absence of adequate manpower, which may require moving of up to 50lbs.
  • Transports guests in resort vehicles to off-property events or locations in the absence of adequate personnel.
  • Performs other duties and responsibilities as assigned or required.

OTHER DUTIES:

Assimilate into Trump National Doral - Miami Cultural Foundation through understanding, supporting and participating in all elements of the Trump Cornerstones. Demonstrate working knowledge of the service standards.

SAFETY REQUIREMENTS:

OSHA laws require the use of the following Personal Protective Equipment (PPE) when performing work duties that have the potential of risk to your health or safety. Associates will be trained in the proper use and care of assigned PPE. The resort provides the required PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Leader.

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
  • Ability to manage and direct staff as well as the ability to handle multiple guest and operational demands with a high degree of professionalism, operating often with time sensitive deadlines.
  • Ability to operate independently and with a high degree of autonomy requiring excellent time management skills and self-motivation.
  • Resort product and industry knowledge, i.e., staffing, operations, safety, security, union rules, structural, terminology, fire, police and health codes, resort policies, city ordinances.
  • Quantitative processing of data via office machine equipment, mathematical computations and analytical skills necessary to accurately determine and communicate financial, forecasting and space utilization calculations.
  • Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Outlook, Delphi, and Internet Optimum Settings.
  • Ability to read, listen and communicate effectively in English both verbally and in writing in order to prepare official memorandum and correspondence as well as provide clear and meaningful instructions, guidance and counseling to all associates.
  • Possess a good conceptual understanding of electronic devices and the ability to operate such items as copy machines, slide projectors, microphones, computers, portable radios, pagers, etc.
  • Ability to complete a contract in compliance with all checklists, standards and resort policies.
  • Interpersonal skills to provide overall guest satisfaction.
  • Ability to work under pressure and deal with stressful situations during busy periods.


QUALIFICATION STANDARDS:

EDUCATION:

Four year college degree preferred. At least two year college (associate) degree required.

EXPERIENCE:

At least five years in banquet/catering field preferred. Hospitality experience required. Minimum of 2 years' experience in direct supervision required.
