The Senior Operations Event Producer will lead and coordinate event preparation and execution activities across Brand, Marketing and Communications (BMC) teams and business unit staff. Applying best practices throughout all phases of event preparation and execution, the qualified candidate will be responsible for ensuring best in class, memorable and productive client experiences. This role will develop tools and processes to facilitate the successful and efficient execution of William Blair marketing events, manage, communicate and monitor adherence to event quality standards and identify appropriate performance measures, collect feedback and assess effectiveness of events. Additional duties include: recommending and implementing changes or enhancements to workflows, deliverables, and event components based on assessment results, resolving escalated event preparation and execution issues, and recommending and optimizing existing structure and manage broad-based internal and external resources to enhance event experience.

Responsibilities include but may not be limited to:
  • Lead and coordinate William Blair operational event preparation activities across BMC teams and business unit staff.
  • Ensure alignment with established project plans.
  • Utilize WRIKE project management tool to organize and track status of deadline driven tasks and activities.
  • Main point of contact for day-to-day activity with key operational event vendors (AV, registration platforms, equipment needs, virtual vendors, etc.).
  • Oversee and coordinate conference site builds using preferred registration platforms (Cvent, MeetMax, Zoom, etc.) based on event experience and objectives.
  • Collaborate with event team and key stakeholders on user experience, testing, demoing, functionality, training, and troubleshooting.
  • Manage individual app development linked to registration sites.
  • Review and suggest content, remain current with new trends, and ideas within event app landscape.
  • Evaluate the effectiveness of event platforms and tools in achieving desired client experiences and business objectives.
  • Ensure that the most efficient and effective technology/platforms and processes are used to deliver the best events and conferences to our clients.
  • Identify potential risks that may impede the success of marketing events.
  • Proactively address these risks to avoid problems.
  • Develop contingency plans for dealing with event technology issues. Serve as a resource for resolving escalated events issues.
  • Report issues that may risk event success to stakeholders.
  • Develop documentation and guides for internal and external purposes.
  • Lead trainings and be subject matter expert on event related technology and platforms.
  • Maintain up-to-date knowledge of software, technology, and event-related equipment (printers, iPads, charging stations, etc.), upgrades and development roadmap while suggesting conference process and workflow improvements.
  • Identify appropriate performance measures for events.
  • Support events team with reporting and feedback collection to determine effectiveness of events.
  • Report analysis findings to management.
  • Oversee AV management deliverables in conjunction with platform/equipment needs for virtual and in-person events.
  • Develop relationships with William Blair IT, Technology Team and other key stakeholders to ensure seamless use of technology and platforms.
  • Maintain consistent communications cadence around status, deliverables, and deadlines.
  • Troubleshoot technology and address functionality/limitation questions from stakeholders.
  • Act as virtual host (initiate/record/troubleshoot) for events as needed.
  • Provide onsite event support and setup as needed.
  • Additional responsibilities as requested.

Qualifications:
  • Bachelor's Degree in Marketing related field required; Master's Degree preferred.
  • 5+ years of experience in events marketing required; preferably in a virtual or digital capacity.
  • Demonstrated experience producing, managing, and/or implementing events, including virtual, and conferences.
  • Broad firsthand familiarity with many different platforms and integrations.
  • Experience working with high-profile speakers as well as highly sophisticated clients/attendees.
  • Ability to work with internal resources and leverage network of reliable contractors/support.
  • Comfortable presenting technology to and training stakeholders (dry runs, tutorials, run of shows, etc.).
  • Experience with virtual delivery platforms (Cvent, Zoom, MeetMax, Wallstreet Webcasting, Vimeo, etc.) and optimizing them to support business objectives.
  • Advanced knowledge of technical aspects of virtual event production.
  • Strong events marketing skills.
  • Strong project management and prioritization skills, including use of project management technology tools.
  • Strong written and verbal communication skills.
  • Strong ability to adapt to changing situations and apply critical thinking to solve issues.
  • Strong ability to build relationships and collaborate cross-functionally.
  • Knowledge of events (in-person, virtual, hybrid) marketing best practices.
  • Attention to detail and quality.
  • Proficiency in Microsoft Office, Salesforce, WRIKE.


A reasonable estimate of the current base salary range at time of posting is below.

Salary Range

$93,600-$117,600 USD
