Position Overview
The Senior Payroll Tax Analyst position is responsible for tax compliance for federal, state, and local taxes for internal (corporate) employees in Canada and the United States. The position will collaborate with the third-party tax provider to ensure timely and accurate tax filings. They will also assist with bi-weekly payroll processing.

Compensation is commensurate with various factors including, but not limited to, relevant experience, qualifications, skills, training, licensure, certifications, geographic cost of labor, and other business and organizational needs. Compensation range for candidates in other locations may differ based on the cost of labor in that location. The compensation range for this position is: $38.00 - $42.00 per hour.

Position Overview
The Senior Payroll Tax Analyst position is responsible for tax compliance for federal, state, and local taxes for internal (corporate) employees in Canada and the United States. The position will collaborate with the third-party tax provider to ensure timely and accurate tax filings. They will also assist with bi-weekly payroll processing.
Core Responsibilities:
Tax Compliance and Reporting:
- Oversee and manage the accurate calculation, reporting, and payment of payroll taxes in compliance with federal, state, and local tax laws
- Maintain current knowledge of tax regulations and legislative changes to ensure accurate compliance
- Prepare payroll tax reports, 941 reconciliations, W-3 reconciliations, and T-4 reconciliations
- Respond to inquiries from internal and external stakeholders regarding payroll tax matters including issues, audits, and/or changes in tax filing requirements
- Perform a quarterly audit of employee tax set-up in payroll system, paying special attention to differences in home and work state
Tax Rate Management:
- Maintain all tax rates in payroll system and third-party tax provider
- Maintain Canada workers' compensation rates for multiple provinces in payroll system and third-party provider
- Maintain online access for state and local tax agencies
Tax Research:
- Investigate and resolve any tax-related issues or discrepancies in a timely manner
- Research and respond to agency tax notices
- Assist employees with tax inquiries
Tax Filings:
- File and remit payment for Canada workers' compensation in multiple provinces
- Prepare and file US taxes that are not supported by third-party tax provider
Payroll Processing:
- Timely and accurate processing of bi-weekly payroll for Canadian internal employees
- Resolves and/or notifies manager of any tax issues during the payroll process after reviewing records
- Audits and performs taxable wages corrections or adjustments when necessary
- Prepare various payroll related reports on a bi-weekly, monthly, or as needed basis
- Attend meetings regarding payroll concerns and work with the team to provide resolutions
- Perform additional duties and projects as assigned to provide support to the Payroll and Finance teams
Key Qualifications
- Comprehensive understanding of payroll processing; time off and attendance, reporting, managing time-card exceptions and supervisor time-card approvals, employee taxes, exemptions, transfers, garnishments, pay deductions, etc.
- High School diploma or equivalent, bachelor's degree a plus
- Minimum of 5 years' experience processing high-volume and multi-state payroll
- Proficiency processing payroll through Workday
- Familiarity with payroll and tax reconciliations (941, W3s, etc.)
- Proficiency with Microsoft Office Suite, specifically Excel (pivot tables, basic formulas)
- Strong attention to detail and accuracy
- Excellent organizational skills and strong proclivity to manage multiple tasks simultaneously and quickly adapt to changes in work assignments.
- Professional poise about written/verbal communication, emotional intelligence, and team collaboration
- Exercises discretion and maintains a high level of confidentiality
- Proactive and enthusiastic team player
Preferred Qualifications
- Experience processing Canadian payroll
- Experience with custom reporting in an HRIS system
- Experience with multiple payroll tax filing jurisdictions
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)
