Nous sommes la recherche d'un/une spcialiste des services de bureau pour superviser les oprations quotidiennes et l'entretien des installations du campus de Dobrin de manire sre et efficace. Le/la candidate idal(e) possde d'excellentes comptences en matire d'organisation et de communication, ainsi que la capacit de grer plusieurs tches dans un environnement en constante volution. Ce rle implique la gestion des relations avec les fournisseurs, la scurit, la gestion du courrier et la garantie d'un environnement de travail fonctionnel.

Il/ elle est responsable des oprations quotidiennes et de l'entretien du campus de Dobrin. Le spcialiste associ principal des services de bureau contribuera maintenir les installations dans un tat de scurit et d'efficacit.

Responsabilits spcifiques:

Oprations des installations:

  • Grer les oprations quotidiennes des installations, y compris la maintenance, la scurit et la gestion des fournisseurs, afin de garantir un environnement de travail sr et fonctionnel.
  • Aider laborer et mettre en uvre des politiques et procdures oprationnelles de bureau rpondant aux besoins du personnel et des visiteurs tout en respectant les rglementations en matire de sant et de scurit.
  • mettre et annuler les cartes d'accs au btiment, prparer des rapports d'utilisation des cartes d'accs et promouvoir le respect des exigences en matire de cartes d'accs.
  • Rpondre aux incidents de scurit, aux urgences ou aux violations en suivant les protocoles tablis.
  • Fournir un excellent service client interne en rpondant aux demandes et aux plaintes, en veillant une prestation de services rapide et de qualit, et en effectuant un suivi auprs des clients pour garantir leur satisfaction.
  • Participer la conformit continue avec l'OHSA en ce qui concerne les inspections et les rapports lis la sant et la scurit.
  • Soutenir l'laboration et/ou la dispensation de formations sur la sant et la scurit pour tous les employs, y compris les premiers soins et la RCR, les procdures d'vacuation et d'autres sujets si ncessaire.
  • Assurer le remplacement du spcialiste principal adjoint des installations et des services administratifs.
  • Assurer l'inventaire et la maintenance des machines caf ainsi que le traitement des commandes de caf et de fournitures.
  • Cration et gestion des bons de commande.
  • Crer et maintenir des ordres de travail dans l'application Maintenance Connection.


Gestion du courrier
  • Traiter tout le courrier entrant et sortant.
  • Effectuer des tches d'excution du courrier, y compris le tri et l'affranchissement.
  • Maintenir les salles de photocopie et rapprovisionner les copies papier.


Scurit

  • mettre et annuler les cartes d'accs au btiment conformment la politique en vigueur.
  • Prparer des rapports sur l'utilisation des cartes d'accs pour assurer un suivi prcis et une conformit.
  • Promouvoir et faire respecter l'obligation pour les occupants de porter les cartes d'accs.
  • Rpondre rapidement et efficacement aux incidents de scurit, aux urgences ou aux violations en suivant les protocoles tablis.


Service client interne

  • Rpondre aux demandes et aux plaintes des clients.
  • Assurer une prestation de services rapide et de qualit aux clients.
  • Faire un suivi auprs des clients pour garantir leur satisfaction.
  • Aider les clients comprendre les processus en participant des visites, des orientations et l'laboration/la dispensation de supports de formation.


Expdition et rception

  • Effectuer des tches d'expdition et de rception, y compris l'emballage scuris et adquat, la prparation des envois et l'enregistrement des dtails d'expdition des fins de suivi.
  • Emballer les quipements/pices de manire scurise et les expdier au centre de cots correct.
  • Maintenir la zone d'expdition et de rception.


Autres Responsabilits

  • Supporter le Spcialiste Services Administratifs, Service Immeuble pour l'entretien de l'difice
  • Supporte la rception

Job Summary

We are seeking a Senior Associate Facilities Specialist to oversee the day-to-day operations and maintenance of the Dobrin Campus facility in a safe and efficient manner. The ideal candidate will have excellent organizational and communication skills, as well as the ability to manage multiple tasks in a fast-paced environment. This role involves managing vendor relationships, security, mail management and ensuring a functional work environment.

Responsible for the day-to-day operations and maintenance at the Dobrin Campus. The Senior Associate Office Services Specialist will help maintain the facility in a safe and efficient manner.

Specific Responsibilities

Facilities Operations:
  • Manage day-to-day facilities operations, including maintenance, security, and vendor management, to ensure a safe and functional work environment.
  • Assist in developing and implementing office operations policies and procedures that meet staff and visitor needs while adhering to health and safety regulations.
  • Issue and cancel building access cards, prepare access card usage reports, and promote compliance with access card requirements.
  • Respond to security incidents, emergencies, or breaches following established protocols.
  • Provide excellent internal customer service by responding to inquiries and complaints, ensuring timely and quality service delivery, and following up with clients to ensure satisfaction.
  • Participate in and ensure ongoing compliance with the OHSA related to Health & Safety inspections and reporting.
  • Support the development and/or delivery of Health & Safety training for all employees including, first aid & CPR, evacuation procedures, and other topics as necessary.
  • Backfill to the Senior Associate Facilities Specialist Building and Administrative Services
  • Maintain the inventory and maintenance of coffee machines along with processing the orders for coffee and supplies.
  • Creation and management of purchase orders
  • Create and maintain workorders in Maintenance Connection Application


Security
  • Issue and cancel building access cards in accordance with the policy.
  • Prepare reports related to access card usage to ensure accurate tracking and compliance.
  • Promote and enforce occupant compliance with the requirement to wear access cards.
  • Respond promptly and effectively to security incidents, emergencies, or breaches, following established protocols.


Internal Customer Service
  • Responds to client inquiries and complaints.
  • Ensures timely and quality service delivery to clients.
  • Follows up with clients to ensure customer satisfaction.
  • Support customer understanding of processes by participating in tours, orientations, and development/delivery of training materials.


Shipping and Receiving
  • Perform shipping and receiving duties, including secure and proper packing, shipment preparation, and entry of shipping details for tracking purposes.
  • Pack equipment/parts securely and ship to the correct cost center.
  • Maintain the shipping and receiving area.


Mail Management
  • Process all incoming and outgoing mail.
  • Perform mail fulfillment tasks, including sorting, and posting.
  • Maintain copier rooms and replenish copy paper stock.


General Responsibilities

  • Handle all incoming and outgoing paperwork.
  • Order and store shipping and office supplies to maintain stock inventory.
  • Track, trace, and expedite shipments when required.
  • Maintain a neat and orderly work area, following company policies and safety regulations.
  • Foster a culture of excellence and prioritize customer service.
  • Act in accordance with McKesson ICARE principles.
  • Collaborate with team members from various departments to achieve departmental goals and resolve internal and external customer issues.
  • Maintain mailroom equipment.
  • Perform other duties as required.
