The School of Dentistry has an outstanding opportunity for a Special Projects Manager to join their team.

This Administrative Specialist is expected to exercise independent judgement with delegated authority to manage and support a broad range of programs within the Office of the Dean. This includes exercising delegated authority to create policies and procedures to independently manage and coordinate special projects for the Dean's Office, and units whose executive heads report to the Dean, including Finance & Resources, Human Resources, Academic Affairs, and Admissions & Student services. Additional programs independently managed by this position includes recruiting for all of the units mentioned above, HR Compliance, maintenance, and equipment purchases. This position is also expected to Assist the Associate Dean for Academic Affairs and the Associate Dean for Student Services with executive level support for academic programs. The successful candidate will have excellent communication skills, be proficient with Zoom, and Microsoft Office products including Word, Excel, PowerPoint, and Teams.

DUTIES AND RESPONSIBILITIES

Human Resources (50 %)

  • Advise Associate & Assistant Deans, directors, managers, and supervisors regarding UW policies, SOD policies, processes, programs and best practices to proactively address human resource needs.
  • Create policies and procedures to manage recruitments for units whose executive head reports to the Dean; manage the recruiting
  • Manage all staff recruitment for OCS from job posting to hire.
  • Coordinate all off boarding for units whose executive head reports to the Dean.
  • Exercise independent judgement to create policies & procedures to manage HR Compliance Programs including, New Employee Orientation, Onboarding, Telework Program, Outside Work Requests, Staff Annual Performance Reviews, and Annual Notices; independently manage those programs and Assist managers and supervisors in the development of workforce training manuals and materials.
  • Manage personnel documents and records per UW retention schedule.
    Managing projects & activities (35%)
  • Develop policies and procedures to manage special projects, including projects with school-wide impact
  • Exercise independent judgment in response to inquiries regarding policies, procedures and services for the Office of the Dean including HR, Finance and Resources, Student Services, Academic Affairs, Equity, Diversity, and Inclusion, and multiple committees and activities
  • Manage equipment needs and purchases, develop estimates, authorize expenditures, and order supplies and equipment
  • Exercise independent judgement to create policies & procedures to manage School's South Campus Parking and Assignment process
  • Represent School on South Campus Parking Committee
  • Attend meetings, conferences, and committees
  • Participate and provide support for various committees as assigned
  • Liaison to complex meetings including: Ad hoc committees and task forces organized by the Associate Dean for Finance & Resources, Assistant Dean for Human Resources, and the Associate Dean for Equity, Diversity, and Inclusion; Others as required
  • Exercise independent judgement and authority to notify unit management and others of policy and procedural changes
  • Coordinate, monitor, and report on ad hoc projects including unit and school-wide projects
  • Contribute to on-going preparations for Accreditation reports, self-studies, and site visits for the Office of the Dean as assigned
  • Other duties as assigned
    Financial Management & Analysis (10%)
  • Assist the Associate Dean for Finance & Resources and Asst. Dean for HR with budget information for discussion, and monitoring of expenses, and preparation of reports; edit reports from the University's Budget Office, and assure compliance with University guidelines and fiduciary responsibility
  • Field inquiries concerning commitments from assigned budgets in finance & resources and human resources.
  • Advise and assist in short and long range planning and prioritization of resources and needs
  • Collect statistical data to generate reports and surveys; respond to SOD or institutional inquiries.
    Offices of Academic Affairs & Student Services - 5 %
  • Work collaboratively with the Associate Academic Affairs Dean & Director of Academic Affairs to ensure student academic progress
  • Ad-hoc projects as assigned
    MINIMUM REQUIREMENTS
  • BA Degree and one year of office or administrative support experience or equivalent education/experience at an executive level.
  • A combination of education and equivalent experience may substitute for the degree requirement.
