Job Summary:

The Senior Director of Clinic Operations oversees the strategic planning, operational management, and overall performance of primary care and specialty clinics. This position reports to the Chief Operating Officer and is responsible for ensuring high-quality patient care, operational efficiency, financial performance, and compliance with regulatory standards. Promotes and maintains harmonious inter-intra departmental relationships and represents the clinic departments in coordinating administrative and operational activities which interface with other departments throughout the organization. Recruitment activities include contacts with recruiters, developing opportunity profiles, pre-screening candidates and negotiating provider contracts. Other duties as assigned.

Key Responsibilities:

Strategic Leadership:
  • Develop and execute operational strategies to improve clinic performance, patient outcomes, and staff and provider satisfaction.
  • Identify growth opportunities, including expansion of services and optimization of existing programs, and exploration of new services to align with organizational goals.
  • Lead change management initiatives to streamline processes and drive innovation.

Operations Management:
  • Oversee daily operations of clinics to ensure efficient workflow, appropriate staffing, and resource allocation.
  • Develop and enforce policies and procedures to ensure compliance with federal, state, and local regulations.
  • Collaborate with clinic directors to monitor key performance indicators (KPIs) and identify areas for improvement.

Financial Oversight:
  • Create and manage budgets for clinic operations, ensuring fiscal responsibility and alignment with organizational goals.
  • Analyze financial data to identify trends, forecast revenue, and implement cost-saving measures without compromising quality of care.
  • Negotiate contracts with vendors and suppliers to optimize clinic resources.
  • Analyze provider/physician production and compensation and apply standard methodology for compensation adjustments.

Quality and Compliance:
  • Ensure clinics adhere to healthcare quality standards and maintain accreditation requirements.
  • Oversee quality improvement initiatives and implement best practices for patient safety and satisfaction.
  • Respond to audits, inspections, and compliance reviews as necessary.

Staff Leadership and Development:
  • Recruit and retain advanced practice providers and physicians.
  • Recruit, train, and mentor clinic management teams, fostering a culture of collaboration and excellence.
  • Conduct performance evaluations, develop succession plans, and identify professional development opportunities for staff.
  • Address personnel issues and promote employee engagement and retention.

Patient Experience:
  • Drive initiatives to improve patient satisfaction, ensuring services are accessible, timely, and culturally sensitive.
  • Monitor patient feedback and implement strategies to address concerns and improve service delivery.
  • Foster strong relationships with community stakeholders and healthcare partners.

Skills and Abilities:
  • Strong leadership and decision-making abilities with excellent organizational skills.
  • Proficient in financial management, including budgeting, forecasting, and cost analysis.
  • Knowledge of healthcare regulations, accreditation standards, and industry best practices.
  • Excellent communication, negotiation, and conflict-resolution skills.
  • Ability to analyze data, identify trends, and implement evidence-based solutions.
  • Knowledge and understanding of primary care and specialty clinic operations, physician/provider employment agreements, and their relationship to hospital operations.

Qualifications:
  • Bachelors or post-graduate degree in Business Administration, Healthcare Administration, or related discipline preferred.
  • Must have five years healthcare management experience. Prefer large multi-specialty and/or hospital affiliation experience.
