We are seeking a highly organized, proactive, and experienced Senior Executive Assistant to support our CEO. The candidate will be a skilled multitasker, capable of managing a wide variety of administrative tasks, while maintaining a high level of professionalism and confidentiality. As the Senior Executive Assistant, you will serve as the primary point of contact for internal and external stakeholders, facilitating effective communication and ensuring that the CEO's time is optimized.

The successful candidate will act as a seamless extension of the CEO and work closely with their management team. The role has a high degree of autonomy and requires someone who is forward thinking, detail oriented and an experienced planner who handles highly confidential information with confidence and professionalism. The individual in this role must understand business priorities and demonstrate the ability to proactively anticipate the needs of the CEO.

The successful candidate will work alongside other Executive Assistants at Canfor and will provide guidance and offer advice on best practices and company policies. The candidate will coordinate the EA team meetings to encourage strong communication and development within the team.

A day in the life of the Sr. Executive Assistant includes:
Executive Support:
  • Provide comprehensive support to the CEO, including calendar management, scheduling meetings, and coordinating travel arrangements. Prioritize and resolve scheduling conflicts to ensure the CEO's time is managed effectively.
  • Demonstrate a presence that inspires confidence and respect within the team, effectively leading by example and maintaining a professional demeanor in all interactions.


Communication Liaison:
  • Serve as the primary point of contact for internal/external stakeholders including customer, industry executives, government officials, analysts etc.
  • Prepare and prioritize communications, emails, phone calls, and other correspondence for the CEO, ensuring timely responses and follow-up when required.


Document and Meeting Preparation:
  • Prepare agendas, presentations, reports, and meeting materials for the CEO. Ensure follow-up on key deliverables and timelines.


Project Coordination:
  • Coordinate special projects, as assigned by the CEO. This includes managing timelines, collaborating with various departments, and tracking progress.


Confidentiality and Discretion:
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.


Administrative Management:
  • Oversee office operations for the CEO, ensuring smooth and efficient workflow.


Travel and Event Coordination:
  • Arrange all travel for the CEO, including transportation, lodging, itineraries, and other logistics.
  • Coordination of aviation charter requests for the company.
  • Planning and organizing events, conferences, and board meetings as required.
  • Being proactive and anticipating future travel requirements is key to success in this role.


For this role, you'll come equipped with:
  • Bachelor's degree or equivalent experience (preferred).
  • 10+ years of experience supporting C-suite executives
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational skills and attention to detail.
  • Proven ability to manage multiple priorities and deadlines with ease.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high degree of confidentiality and professionalism at all times.
  • Strong interpersonal skills and the ability to interact with senior management, clients, and partners.
  • Experience with calendar management.


The salary range for this position is: $90,000 - $115,000
