Summary: This position is responsible for coordinating and overseeing the Accounts Payable operations of the organization. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.

Essential Duties and Responsibilities:
- Manage the daily activities of the Accounts Payable function of the organization - including invoice processing and payment disbursements (currently, using Financial Edge, Concur and Paper Save).
- Develop, implement and maintain systems, procedures and policies for Accounts Payable to ensure adherence to organization guidelines
- Manage monthly closing of financial records and posting of month end information; ensures accuracy of internal financial statements. Provide monthly shared services report to the accounting team.
- Enter monthly adjustments into the accounting software to ensure budgeting requirements are met.
- Provide accounting assistance to Controllers, Assistant Controllers and Associate Directors; responds to financial issues/inquiries to ensure that all business needs are met.
- Manage AP analysts and clerks as part of Accounts Payable team.
- Oversee Accounts Payable check disbursements.
- Oversee ePayables credit card payment process.
- Responsible for overseeing the positive pay file submission to organization's financial institution.
- Organize and maintain accurate vendor database; perform vendor sanction screenings.
- Create and maintain year end 1099 vendor process including IRS file submission.
- Maintains Customer Vendor Relations.
- Reconcile Vendor Monthly Statements.
- Oversee organization expense policy compliance as it relates to Concur disbursements.
- Oversee Concur monthly rent payments for commercial and participant rents.
- eRequester System Administrator, which includes maintaining the employee users, training as well as maintenance; department setup, general ledger coding and routing rules for all companies and levels.
- Assist in implementation of new systems and processes including Procurement.
- Recommend changes to Accounts Payable workflows, department policies and procedures to meet operational needs and improve workflow efficiencies.
- Implement and document procedures - Communicate changes to appropriate parties as needed.
- Act as a financial liaison between Financial Accounting Services and Program Staff to meet information needs with regards to systems or processes. Manage the responses from external inquiries that come to our Accounts Payable email box and phone line.
- Demonstrate a thorough understanding of contractual obligations and other pertinent matters as set forth in the business transactions of the organization, as well as the IRS guidelines.
- Provide back-up for check processing
- Manage Payment Plus and inquiries regarding the system
- Provide troubleshooting with payments, supplier enrollments, and administration of the Payee Choice portal
- Initiate book transfers to Consolidated Payables account
- Provide invoice training for Requestors and Approvers
- Order new credit cards, adjust credit limits as needed, assign new credit card user profiles and oversee credit card import
- Assign unassigned invoices, close open Purchase Orders, troubleshoot purchase requests and invoice inquiries
- Monitor reconciliation compliance +30 days
- Address inquiries and investigate disputes

- Education and/or Experience: High school diploma and a minimum of six years related experience. Bachelor's degree preferred. May give credit towards years of experience for additional education completed and/or degree obtained. At least one year of supervisor experience required.
- Computer Skills: Demonstrated computer skills, including intermediate to advanced Excel experience required. Able and willing to acquire knowledge of Financial Edge; Yardi, eRequester, Concur and other organizational database/financial systems.
- Language Skills: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from employees, regulatory agencies, or members of the business and financial communities. Ability to effectively present information to top management, public groups, and Board of Directors.
- Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Reasoning Ability: Ability to multitask and prioritize. Ability to define problems, collects data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
