Job Description

Position Overview: The Medicine Senior Project Manager Level 1 is responsible for the planning, execution, and successful completion of departmental projects. This role involves coordinating cross-functional teams, ensuring compliance with regulatory standards, managing timelines and budgets, and fostering effective communication among stakeholders. The Senior Project Manager will focus on improving operational efficiency, supporting quality assurance, performance improvement, and research initiatives, and enhancing resident care outcomes.

Responsibilities: In close collaboration with the Chief Medical Officer (and/or her/his designee), responsibilities of the Medicine Senior Project Manager include: 1. Project Planning and Coordination a. Define project scope, objectives, and deliverables in collaboration with Department leadership and stakeholders b. Develop detailed project plans, timelines, and budgets c. Coordinate activities across clinical and administrative teams 2. Stakeholder Management a. Act as the Department's primary point of contact for project stakeholders b. Facilitate regular meetings to review project progress, address risks, and ensure alignment c. Communicate effectively with internal team and external partners 3. Compliance Oversight a. Ensure projects comply with Coler and Health + Hospitals rules and regulations b. Manage accurate documentation for audits, reporting, and compliance purposes 4. Resource Management a. Allocate resources effectively to meet project goals b. Monitor expenditures to ensure adherence to budgetary constraints c. Identify and mitigate potential resource constraints 5. Performance Monitoring and Reporting a. Track project milestones and key performance indicators b. Prepare and present regular status reports to Medical and Administrative leadership c. Implement corrective actions for any project delays or deviations 6. Quality Assurance a. Develop and implement quality assurance protocols for project deliverables b. Identify and address risks to ensure resident safety and project success 7. Continuous Improvement a. Conduct post-project reviews to identify lessons learns and opportunities for improvement b. Propose and implement improvements to enhance project management practices 2 8. Office Management a. Manage the scheduling of primary care physicians (daily unit coverage, weekend coverage, on call assignments) b. Manage primary care physician timesheets and related records (e.g., coordinate requests for leave and ensure unit coverage during scheduled and unscheduled absences) c. Manage data from the EHR and other data sources required for quality assurance and performance improvement projects for the facility and across the Post-Acute Care service line d. Manage data from the EHR and other data sources required for Medical staff performance reviews e. Collect, upload, and manage all physician billing data f. In collaboration with the Director on the Resident Clinic, manage the scheduling of in-house and off-site medical appointments, facilitate communication and the sharing of the appointment results with the primary care physicians/in-house specialty consultants/off-site providers, assist in scheduling resident transportation to/from the off-site clinics, and provide oversight of the in house clinic (as needed) g. Act as a liaison between the primary care physicians and the pharmacist/pharmacy consultants h. Manage eVitals/electronic death certificates i. Review monthly Finance reports and manage OTPS expenditures j. Schedule and manage Medical Staff administrative and Faculty Development/education meetings

Minimum Qualifications
1. Baccalaureate degree from an accredited college or university in Business or Public Administration,
Healthcare Management, Engineering, Social Sciences, Physical Sciences or related discipline; and
2. Six (6) years of progressively responsible experience in project and program management, execution, and
implementation, three (3) years of which must have been in the administration, management and/or
execution of projects and programs of various complexities, including work in health care program planning,
research, design or related area; or
3. Certification in Project Management (e.g., Project Management Professional (PMP) certification, Program
Management Professional (PgMP), Certified Associate in Project Management (CAPM)) and four (4) years
of experience as described in #2 above, two (2) years of which must have been in the administration,
management and/or execution of projects and programs of various complexities, including work in health
care program planning, research, design or related area.
