Job Profile Summary

Provides administrative support to a senior-level executive.

Essential Functions and Responsibilities

  • Provide administrative support for a senior-level executive including composing, preparing, and/or editing correspondence and reports
  • Provide information and/or guidance to outside visitors, managers, customers, regulatory agency personnel, vendors, employees, and others concerning but not limited to:
    • Executive's schedule
    • Dissemination of confidential or sensitive information
    • Corporate policies and procedures
  • Answer executive's telephone. Verify, approve, and/or disseminate requests for information, invoices, news releases, and correspondence
  • Calculate, process, and/or prepare correspondence and reports utilizing computers and applicable software, for example:
    • Executive's personal/business correspondence
    • Invoices and expenses
    • Special projects
    • Budgets


Education
  • Associate's Degree in office administration or an equivalent combination of formal education and the following job related experience


Work Experience
  • Experience providing administrative support to an executive
  • Experience in use and function of office equipment applicable to position including computers, calculators, photocopiers, and facsimiles
  • Experience interpreting and/or administering policies, procedures, and use of terminology applicable to position
  • Experience and training related to:
    • Accessing general ledger accounts
    • Word processing and spreadsheet software such as Microsoft Word and Excel
    • Developing and maintaining physical and/or electronic filing systems
    • Handling confidential and/or sensitive information
    • Planning conferences, traveling arrangements and meetings
  • Experience interacting, advising, directing and communicating effectively
  • Experience reading, interpreting, editing, and/or extracting information from various sources including policies and procedures, manuals, reports, contracts, and regulations
  • Experience composing and preparing correspondence and reports


Knowledge, Skills and Abilities
  • Knowledge of: organizational structures and terminology of corporation and its business segments
  • Ability to: apply commonly accepted grammar and punctuation
  • Ability to: apply addition, subtraction, multiplication, and division. Application of decimals and percentages
  • Ability to: interpret and/or disseminate information concerning compensation and benefit processes or programs such as thrift/savings plan, group life/health insurance, vacation, overtime, etc
  • Ability to: communicate and/or exchange information and instructions
