Oversees coordinators at all VEC locations, supporting the team in their day-to-day needs.

Responsibilities
- Collaborates with cross-functional teams to align training initiatives with organizational objectives, refines processes to improve efficiency, and ensure all training locations operate smoothly and consistently.
- Establishes best practices for communicating customer travel arrangements to drive consistency across all facilities and ensure continuity in processes.
- Oversees a team of coordinators by providing strong leadership to staff including hiring, onboarding, training, performance, and talent management.
- Reviews outputs of the team to ensure the team is communicating clearly and effectively driving a seamless customer experience, regardless of training location.
- Implements new booking strategies and initiatives to elevate the customer experience ensuring the delivery of exceptional, memorable training experiences that drive loyalty and advocacy.
- Identifies and mitigates potential risks associated with training logistics, facility management, and vendor operations.
- Manages vendor relationships across multiple facilities to ensure all locations are being upkept and in good working order to ensure the health and safety of employees and visitors.
- Forecasts facility utilization and works closely with Training leadership to increase building occupancy.
- Maintains the shared department calendars for all Seminar Centers and Experience Centers on Outlook and Viega.us.
- Oversees the creation of registration links and flyers to promote training events and track attendance.
- Manages online registration database including creating new classes, updating, or cancelling existing events.
- Assists with the preparation of training rooms, and classroom clean-up during and at the end of workshops and events.
- Monitors Online Training Mailbox, and delegates response to individuals on their team.
- Reviews incoming expense reports and invoices assuring accuracy before approving and forwarding to leadership.
- Identifies and corrects content on viega.us/training, ViegaNow, viega.us/viegaworks, and SharePoint training pages.
- Identifies areas for improvement and refines processes as necessary. Drives continuous improvement initiatives to enhance operational efficiencies.
- Prepares various weekly and monthly reports as needed
- Organizes travel arrangements, accommodations, and travel itineraries as requested.
- Attends meetings as required and/or assigned
- Performs other duties as required and/or assigned
- May be required to travel up to 20% of the time.
Required Qualifications
Knowledge, Skills and Abilities
- Proficient in the use of common office equipment and software - including: computers, printers, Microsoft Word, Excel, Outlook, Teams, and PowerPoint
- Proficiency (or the ability to quickly become proficient) in Customer Relationship Management (CRM) systems including Salesforce.
- Effectively leads and motivates employees
- Ability to thrive in a fast-paced, entrepreneurial environment with shifting projects and priorities.
- Exceptional multitasking skills, with the ability to work independently and effectively with minimal supervision.

Education, Certification/License & Work Experience
- High school diploma or equivalent required
- 5-7 years of related experience in an executive support or other high-level administrative role required
- 2+ years in a leadership role, preferably managing administrative support professionals, required
- Bachelor's degree preferred

Total Rewards Package:
Compensation
- Base: $80,000 to $90,000 annually, based on specific compensable factors including, but not limited to education, work experience, and geographic market.
- Bonus: This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee may be awarded a percentage of their salary based on the company's performance and their own individual performance.
