Description

The Animal Emergency Center of Sandy Springs is seeking an experienced, dynamic, and highly motivated Practice Manager to lead our emergency and specialty veterinary hospital in Sandy Springs, GA.

Our hospital is dedicated to providing exceptional, compassionate care to pets in need of emergency care, specialty services, and ongoing treatment, and we are looking for a strong leader to guide our team to continue this mission of excellence.

The Practice Manager will oversee daily operations, financial management, team leadership, and patient care coordination while fostering a culture of collaboration and high morale. As the Practice Manager, you will play a critical role in shaping the operational efficiency of our hospital, working closely with our veterinarians, veterinary technicians, administrative staff, and specialists to provide top-tier care for our patients.

This is a hands-on, leadership role that demands strong managerial skills, an understanding of veterinary medical protocols, and the ability to drive hospital performance while maintaining an outstanding client experience. Key Responsibilities
  • Hospital Operations Management:
    • Oversee the day-to-day operations of the hospital, ensuring efficiency, quality patient care, and adherence to veterinary best practices.
    • Manage hospital workflow, ensuring seamless coordination between emergency, specialty, and support teams.
    • Maintain compliance with veterinary regulations, hospital protocols, and industry standards.
  • Team Leadership & Engagement:
    • Lead, support, and motivate a team of veterinary professionals, including emergency veterinarians, specialists, technicians, and support staff.
    • Develop and maintain a positive, collaborative hospital culture that prioritizes staff well-being, communication, and engagement.
    • Conduct regular staff meetings, training sessions, and performance evaluations to ensure high morale and professional growth.
  • Financial Management & Budgeting:
    • Manage the hospital's budget, including tracking and reporting on revenue, expenses, and profit & loss (P&L) statements.
    • Monitor key financial metrics and make data-driven decisions to meet financial goals.
    • Collaborate with leadership to set pricing structures and oversee accurate billing and collections.
  • Human Resources & Staffing:
    • Oversee staffing needs, including recruitment, training, and retention of veterinary professionals.
    • Ensure adequate coverage for emergency shifts, specialty services, and peak hours.
    • Handle employee relations, conduct performance reviews, and support staff development.
  • Client Relations & Service:
    • Ensure a patient-centered approach with exceptional client service and communication.
    • Oversee client inquiries, appointment scheduling, and medical records, ensuring seamless communication between clients, clinical staff, and specialists.
    • Address client concerns promptly, ensuring that every pet owner has a positive experience from admission to discharge.
  • Compliance & Quality Assurance:
    • Ensure compliance with all local, state, and federal veterinary regulations and licensing requirements.
    • Implement quality assurance processes to monitor and maintain the standard of care, patient safety, and treatment efficacy.
    • Maintain accurate and up-to-date hospital policies and procedures in accordance with industry best practices.
  • Marketing & Outreach:
    • Develop and execute marketing strategies to promote emergency services and specialty care.
    • Build relationships with local veterinary practices, businesses, and community groups to foster referrals and grow the hospital's presence.
    • Represent the hospital at veterinary conferences, community events, and networking opportunities.
  • Emergency & Specialty Service Coordination:
    • Ensure smooth coordination between the emergency team and specialists to provide optimal patient care.
    • Develop protocols for handling critical cases and ensuring quick response times during high-pressure situations.
    • Manage after-hours care and staffing to ensure continuity of emergency services.


Skills, Knowledge & Expertise to be Successful

Education & Certification:
  • Bachelor's degree in business administration, healthcare management, or a related field required.
  • Prior experience in veterinary medicine required; emergency veterinary care or specialty care experience is highly preferred.
  • Certified Veterinary Practice Manager (CVPM) or equivalent certification is a plus.

Experience:
  • Minimum 3-5 years of experience managing a veterinary practice or hospital, ideally in an emergency and specialty care environment.
  • Proven ability to manage budgets, P&L statements, and financials in a medical or veterinary setting.
  • Previous experience with veterinary practice management software (e.g., Avimark, Vetter, eVetPractice) is highly preferred.

Leadership & Team Management:
  • Strong leadership and team-building skills, with the ability to motivate and manage a diverse group of veterinary professionals.
  • Demonstrated ability to handle conflict resolution, employee development, and performance management.
  • Exceptional communication skills with the ability to engage, support, and lead teams in high-stress situations.

Financial Acumen:
  • Strong understanding of veterinary financials, including cost management, revenue optimization, and financial reporting.
  • Ability to analyze financial data to make informed decisions and drive operational success.

  • Proven ability to manage client expectations and handle challenging situations with empathy and understanding.
