Job Summary:

Reporting to Chief Administrative Officer, the Workflow Coordinator is responsible for the coordination and workflow of projects and tasks submitted to the Firm's workflow software. The Workflow Coordinator works collaboratively and cooperatively with others in a team-oriented environment to deliver the highest level of service to internal and external clients. The Workflow Coordinator plays a critical role in managing the day-to-day administrative and operational support services. This position will be focused on managing deadlines, making sure all tasks within BigHand are routed to the right support person or team and picked up, bringing the team together for special projects and training, and ensuring coverage for timekeepers during absences.

***Salary in the range of $85,000 - $115,000 dependent on experience level and geographic location***

Essential Job Duties:
  • Coordinate all workflow for assigned practice area(s), delegating specific tasks to other teams, ensuring tasks are routed to the right person or support team, and ensure work is completed timely (within the requested deadline period) and efficiently.
  • Serve as the liaison in coordinating and assigning incoming work/projects to ensure accurate and timely completion of all documents submitted through the workflow portal and direct assignments. Collaborate and communicate with attorneys and other users to determine timeframes to meet deadlines.
  • Monitor workflow in the event of LSA absence for tasks in progress and reassign tasks as needed.
  • Work closely with Managers of Office Administration to make informed decisions with regard work assignments. Continuously seek opportunities for personal and team growth through training opportunities and education. Recognize and encourage a collaborative and teamwork focused environment.
  • Assist in the development and implementation of BigHand NOW workflows.
  • Work closely with Managers of Office Administration to ensure consistent support across all locations and teams and/or offices.
  • Assist with training and mentoring LSAs, identify skill gaps and opportunities for training to enhance performance and consistency across the entire LSA team.
  • Develop and implement strategies to improve workflow efficiency and accountability within the legal support teams.
  • Partner with the Managers of Office Administration to enhance and maintain task management systems, ensuring optimal utilization of legal support technologies such as BigHand and other workflow tools.
  • Foster relationships between LSAs and other business professionals to identify workflow efficiencies and solve problems, such as improvements in billing, intake and conflicts, travel, etc.
  • Maintain positive relations with internal clients and co-workers and contribute to self-directed team structure to assist with overflow and specialized tasks within guidelines set by the firm.


Knowledge, Skills & Abilities
  • Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, high-pressure, deadline-driven and detail-oriented work environment utilizing independent judgment, initiative, and decision-making skills.
  • Ability to assist and manage the workflow portal including updating and implementing workflows/processes inside of BigHand Now platform.
  • Possess interpersonal and employee relations skills necessary to navigate conflict resolution and sensitive, confidential situations
  • Ability to effectively gather and summarize data for reports, find solutions to various administrative problems and prioritize work.


Minimum Requirements:
  • Five years of experience as an LSA or other legal support position with a demonstrated advanced skill set
  • Associate's Degree preferred, High school diploma required, applicable work experience may be considered in lieu of a degree.
  • Strong collaborative leadership skills with the ability to build relationships, communicate effectively, and work in a team environment
  • Highly professional demeanor including poise, tact and diplomacy
  • Capable to identify issues and develop creative and effective solutions
  • Excellent administrative skills and knowledge of grammar, spelling and punctuation
  • Strong technology skills with proficiency in BigHand is a plus
  • Excellent written and verbal communication skills in dealing with a diverse group of professionals
  • Exceptional attention to detail and ability to work independently and proactively
  • Ability to maintain strict confidentiality while dealing with internal and client data
  • Ability to work in the office and remotely, with the appropriate internet capabilities as directed
  • Must be able to perform all essential job duties
