Health tech company is looking for an Office Manager/Executive Assistant to support the Office of the CEO. This is a great opportunity to join a collaborative, mission-driven team! You will report into and partner with the Chief of Staff to provide scheduling support to coordinate meetings as well as manage travel arrangements and submit expenses. Additionally, you will manage and maintain the office, act as a receptionist to greet visitors and employees into the space, and coordinate with building management. Someone who communicates clearly and concisely, adapts to changes, and thrives in a fast-paced environment. This is an in-person role based in New York in NoMad. 110-120K DOE + benefits, 401k, and unlimited PTO!

Responsibilities:
  • Provide daily administrative and office support to the Office of the CEO and other leadership members and team as needed.
  • Coordinate and schedule meetings with internal and external stakeholders. Working with the Chief of Staff to ensure the CEO's calendar reflects priorities. Be able to shift schedule quickly with last-minute changes.
  • Manage scheduling with the Board, ensuring polished interactions and seamless coordination.
  • Arrange travel and accommodations. Create detailed itineraries to ensure seamless travel.
  • Submit all expense reports and receipts.
  • Organize and update electronic files as needed.
  • Manage and maintain the office space, ensuring that it is well-maintained, supplies and snacks are stocked, and conference rooms are tidy and set up.
  • Welcome visitors and employees, partnering with building management to ensure visitors are on the security list for entrance.
  • Be on the ground to support vendors and maintenance repairs.
Qualifications:
  • 2-4 years experience as an Executive or Administrative Assistant or similar role, ideally in a fast-paced environment.
  • Polished communication skills - both verbal and written. Comfortable interacting with highly confidential matters and high-level stakeholders.
  • Adaptable. Ability to intuitively shift gears quickly as priorities change.
  • Strong organizational skills with great attention to detail.
  • Proactive approach to managing tasks and responsibilities. You excel at anticipating needs.
  • Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks.
  • Inherently focused on creative approaches to solving operational problems efficiently.
  • Tech savvy (Proficient in Microsoft, Outlook, GSuite, Docs). Ability to learn tools quickly.
