Summary Description: The Senior Director of Facilities directs, manages and coordinates those aspects of operations that relate to Greater Mental Health Facilities to include, plumbing, mechanical, electrical, life safety equipment of all Greater Mental Health properties and oversight of the transportation department and all agency vehicles.

Key Responsibilities:
  • Responsible for assuring that all Greater Mental Health properties are in compliance with County, State or other NY State regulatory agencies.
  • Manages and directs the activities of assigned facilities and transportation staff.
  • Coordinates and prioritizes work orders, tracks and reviews work progress, inspects vendor contract work for conformity with plans and specifications and reports back to Senior VP of Facilities.
  • Schedule monthly meetings with facilities staff.
  • Schedule quarterly site inspections with Director of Facilities for site inspections of owned properties creating reports of all properties and reporting back to Senior VP of Facilities.
  • Schedule monthly site inspections with the Director of Facilities for site inspections of behavioral health clinics as per Office of Mental Health (OMH) and the Office of Addiction Services and Supports (OASAS).
  • Responsible for facilities work orders and prioritizing scheduled repairs.
  • Oversight of the transportation department with regards to all GMH agency vehicles including but not limited to purchasing, leasing, usage and maintenance of agency vehicles.
  • Responsible for coordinating routine emergency repairs and on-call emergency issues. (on call 24/7 for emergency maintenance issues)
  • Schedules and oversees preventative maintenance work and landscaping of GMH properties.
  • Collects, tracks, updates and processes for payment all relevant or applicable services and equipment described or assigned to the facilities department and operates within established budget guidelines and maintains appropriate fiscal records.
  • Responsible for acquiring, monitoring and maintaining inventories of all facilities equipment including but not limited to personal protection equipment (PPE), tools and building keys.
  • Other duties as assigned by Senior Vice President of Facilities and business operations.

  • KPIS:
  • Compliance with County, State, and NY State regulatory agencies for all GMH properties.
  • Timely completion of work orders.
  • Completion of scheduled preventative maintenance tasks on time.
  • Prompt response to emergency maintenance issues.

  • Key Competencies:
  • The Senior Director of Facilities must possess thorough knowledge of general maintenance of office facilities and transportation fleet management.
  • Ability to read and interpret documents such as work orders, safety rules, operating and maintenance instructions and structural or regulatory code books and drawings including electrical, plumbing, mechanical and life safety regulations.
  • Must have the ability to exercise good judgement in a variety of situation, with strong written and verbal communication, administrative, and organizational skills.
  • Must have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities.
  • Respects each individual's basic human rights/dignity and confidentiality.
  • Manages agency property with care and respect.
  • Participates in staff meetings, initial and annual training as required.
  • Respectful when dealing with co-workers, visitors and clients.
  • Professional in attitude, dress, appearance, and work performance.

  • Cooperates with investigations.
  • Communicates concerns, problems and needs to the Senior VP of Facilities.
  • Complies with directives, requests, and requirements from the Senior VP of Facilities.
  • Follows the established agency policies and maintains appropriate professional standards.

  • Requirements:
  • Associates Degree is preferred and/or 2 years of facilities experience.
  • Must have a valid New York State driver's license, without current suspensions, or revocations and a driving record that is satisfactory to MHA driver policy.
  • Must be competent in basic computer software programs (Microsoft word, excel etc.)
  • Must maintain a defensive driving certificate every 3 years and complete all driver training assigned
  • Basic computer knowledge: typing, communication tools, scheduling tools and web browsers.
  • Proficiency in Microsoft Office suite and database management systems.
  • Must maintain clearance by applicable regulatory clearances as required.
  • Must be legally eligible to work in the United States.

  • Special Considerations:
  • Frequently on feet, some walking and standing required.
  • Frequent light (up to 25 pounds) lifting of materials/equipment required.
  • Occasional exposure to noise.
  • Occasional exposure to odors.
  • Frequent light lifting and/or bending required.
  • Frequently operates motor vehicles.
  • May have to work shifts where needed including weekends.
