Job Description
PURPOSE OF POSITION:
The Assistant Director of Communications, (hereafter "Program Director"), with the broadest scope for the exercise of independent initiative, organizes, directs, coordinates, and evaluates administrative staff assigned to the Guns Down Life Up program (hereafter "GDLU). The Program Director under general supervision, with some latitude for initiative and independent judgment, assists in the coordination and implementation of plans and practices for the presentation of the objectives and achievements of the Corporation to the public and its employees as they pertain to GDLU. The Program Director will also be responsible for working in close collaboration with multidisciplinary teams, and Quality Management Departments to facilitate the preparation and execution of Performance Improvement Plan(s) including data reporting requirements. The program director has knowledge of the GDLU goals and objectives as outlined below:
(1) prevention: engaging youth early in long-term mentorship and developmental activities to divert them from involvement with violent peer groups and behaviors;
(2) community mobilization: engaging with concerned organizations and neighborhood residents to build community strategies to reduce neighborhood violence.
(3) GDLU/Lincoln makes it possible for violence prevention specialists,", Hospital Responders "to enter NYC Health Hospital emergency department to engage with patients injured by Gunshot, stabbing, slashing, blunt force trauma, and other violent incidents these specialists aim are to stop retaliation and ongoing violence.
Duties and Major Responsibilities:

Acts as liaison to the appropriate agencies, community, and employee groups to assist in the formulation of Corporate information programs to lead GDLU youth programs staff in creating youth development opportunities, coaching, referral services, supporting participants' post-program plans, as related to their education and professional development

Develop, establish, and implement the philosophy, objectives, policies, and standards of administrative services, which include, but are not limited to: (a) administering databases of clinical services activity for analysis and reporting; (b) when necessary ordering and stocking sufficient inventory of supplies and forms; (c) ensuring maintenance and function of business machines and computer systems, and (g) supervision of the community workers as applicable;
Working closely with the Community Initiatives Director and Guns Down Life Up (GDLU) staff to ensure the implementation of all youth-led and centered initiatives and projects Supporting the development and coordination of the project's youth programming, which includes recruitment, curriculum development, and leading learning activities;
Participates in the establishment, implementation, and Building of relationships to collaborate with a broad range of community stakeholders to advance youth-led initiatives, create opportunities, and build community networks;
Collaborate with the Director, and other executive and corporate leadership to coordinate the development and execution of a Performance Improvement Plan ("PI Plan") and to ensure it is conceived and implemented in accordance with the Breakthrough Business System and is aligned with NYCH+H and hospital strategic goals for the patient experience, clinical safety, quality, financial performance and market share;
Working with youth programs staff to regularly review identified participants' progress and ensure that appropriate follow-up occurs from initial engagement and program enrollment through comprehensive post-graduation services; Attending implementation meetings with partner organizations and providing ongoing youth program updates;
Attending community meetings and events and other partner meetings, as requested;
Ensuring accurate and timely reporting to Stakeholders, administrative staff, and GDLU staff
Compiling and submitting other programmatic reports in compliance with grant requirements;
Assisting with grant writing and fundraising
Acts as liaison to the appropriate agencies, community, and employee groups to assist in the formulation of GDLU information programs.
For Youth Recruitment and Engagement: (a) Supporting youth programs staff in the development and implementation of a comprehensive community youth recruitment and outreach plan. (b) Developing strategies related to youth engagement and participation in community organizing and engagement activities across NIA youth programs sites; (c) Work with youth programs staff to project manage and produce all youth-led workshops, events, activities, and more;
Support and manage Work of GDLU programs and Staff: (a) Overseeing the GDLU programs team, including supporting the department vision, program planning, systems implementation, project oversight, and grant reporting; (b) Supporting the development of new program models, community initiatives, and projects; (c) Work to develop a strategic plan for youth programs; (d) Overseeing staff development and training; (e) Providing supervision to the GDLU programs team including media arts, social work, workforce development and community organizing staff; (f) Develop systems and provide oversight for data tracking and reporting
Project Management and Administration: (a) Attending in-person, or virtual meetings with key leadership staff to provide updates, discuss budgets, outline logistics, and manage timelines; (b) Working with Operations to process supply, catering, and purchasing requests for program activities and events across GDLU programs project sites and events; (c) Managing and selecting vendors for supplies, event production, staff and pa1iicipant retreats and consulting, teaching artists and another programming; (c) Providing onsite support during community events and meetings (i.e.; setting up events spaces, maintaining materials, vendor communications, etc.); (d) Managing youth programs budget through a spending tracker, supply inventory, and oversee stipend documentation and payment for youth participants; (e) Maintaining and file documentation of youth council activities including but not limited to sign-in sheets, meeting notes, photos, facilitation guides;
Maintaining events on a shared calendar;
Ensure that staff competencies meet the hospital's business standards through a system of continuing performance evaluation;
Maintain cost awareness in the administration of personnel, supplies, and equipment expenditures
Utilize appropriate progressive disciplinary action for administrative staff performance issues using Just Culture principles;
Collaborate with the hospital's Regulatory Affairs and Quality Management Department to ensure that program Services adhere to all accreditation and program standards and government regulations;
Attend departmental and hospital-wide meetings as required and ensure dissemination of pertinent information to appropriate staff in a timely manner;
Plan, develop and, when appropriate, conduct training programs to maintain the proficiency of administrative staff in the execution of new or revised processes and/or systems;
In collaboration with the hospital's Human Resources Department, participate in recruitment and retention processes for GDLU staff;
Meet all hospital compliance standards and requirements of professional conduct including, but not limited to: (a) annual physical; (b) competency assessments; (c) annual mandatory training, (d) fire and safety training; and other requirements as specified;
Develop personal industry knowledge and professional skills and capabilities by attending training sessions and other educational conferences and/or seminars relevant to the area of specialty;
Develop and update policies and procedures and participate in the development and updating of relevant hospital-wide policies and procedures, ensuring that administrative staff follow them;
Enroll staff in the necessary EMR training and monitor staff security access.

Minimum Qualifications
Qualification Requirements:
1. Bachelors' degree from an accredited college or university in Business Administration, Management, Public Administration, Marketing, or a related discipline; and,
2. Two (2) years of responsible public relations experience involving the press and communications media, employee communications, community affairs, educational affairs, public information, corporate and business affairs, governmental and legislative affairs; or
3. Satisfactory equivalent combination of education, training and/or experience. However, all candidates must have a minimum of a Bachelor's degree in disciplines, as listed in "1" above
