Position Overview

Arlo is in search of a Senior Administrative Support III in support of the OUSD I&S CL&S Support Division.

Job Responsibilities and/or Success Factors
  • Serve as the administrative point of contact for multiple senior executives and their directorates.
  • Maintain daily calendars and ensure operations are accomplished in a timely, professional manner. Arrange for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
  • Provide correspondence staffing support and oversight to more than 40 Directorate action officers and other staff for all required correspondence actions,(e.g., formal letters, memoranda, read-ahead briefing/meeting packages, activity reports, senior leadership reports, and travel/training/personnel documents).
  • Perform technical writing/editing, editorial consultation, proofreading, or overall documentation review. Ensure documents are prepared in the appropriate DoD format and are free from grammatical errors. Tracks all Directorate suspenses to ensure timeliness.
  • Maintain and update a variety of overarching informational binders addressing staff, priorities, quarterly requirements and other documentation required by the DDI(CL&S).
  • Represent the Director at a number of fora to provide requested data on Directorate activities, accept, disseminate and track tasks for future meetings and provide the Directorate and Division leadership with updated DDI(CL&S) guidance and requirements.
  • Act as a primary administrative interface with the staff of the DDI(CL&S) and as such receive all tasks for the Directorate assigning them to the appropriate Division or the Director.
  • Prepare and/or oversee travel arrangements. Assist in the preparation or refinement of itineraries, prepare or oversee the preparation of travel orders, secures reservations and tickets, verifies that passports and visas are in order. Upon completion of travel, prepare voucher, assist in developing necessary trip reports, and brief on items of special interest and actions taken during customer absence from the office.
  • Serve as administrative point of contact for government staff personnel in a sensitive compartmented information facility (SCIF), answering phones, maintaining office files and the office filing system, and tracking action items in the suspense portal. Demonstrate an in-depth knowledge of proper security procedures to protect classified information.
  • Arrange for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
  • Provide in-depth advisory services concerning military and civilian human capital management functions on issues such as Joint Duty Assignments, memorandum of agreements, awards and evaluations.
  • Assist with the administrative onboarding of incoming personnel to include, but not limited to, security awareness and protocols, computer support/connectivity, ensuring relevant staff officer training, etc.
  • Assist in the preparation of budget and/or contracts documents in support of the organization as required.
  • Assist in providing security management support for sensitive activities, sensitive compartmented information (SCI), special access programs (SAP) documentation, and Alternative or Compensatory Control Measures (ACCM) activities.

Required Qualifications
  • Must have an active Top Secret clearance with SCI.
  • High school diploma with at least seven (7) years of demonstrated DoD administrative experience.
  • Minimum of five (5) years demonstrated experience supporting DoD Senior Management to include knowledge of maintaining an executive calendar, answering phones, preparing briefings, and setting and tracking suspense.
  • Minimum of five (5) years' experience managing, supervising, and conducting administrative functions involving multiple programs including analysis and evaluation on projects and mission objectives.
  • Minimum of five (5) years drafting and editing correspondence, briefing slides, and memorandums.
  • Minimum of five (5) years of experience performing action officer responsibilities which includes tracking suspenses, staffing packages, and coordinating actions with both internal and external customers, resolving/de-conflicting issues.
  • Minimum of four (5) years demonstrated experience supporting travel requirements of senior executives including foreign travel. Demonstrated ability to write and edit complex information in a clear and concise manner.
  • Demonstrated experience providing administrative management support for sensitive activities, sensitive compartmented information, SAP, and ACCM activities. Expert Proficiency Level with: Microsoft Office Excel, Access, Outlook, PowerPoint, Word is required.
