Job Responsibilities

The Associate Director is responsible for the overall operational and fiscal management of the Gordon Field House and Activities Center, including the Field House Arena, and the Judson Aquatics Center, and the furniture rental operation. They develop and execute an annual plan designed to maximize the strategic use of the venues, while creating and having direct oversight of policies, processes, and procedures to include all operational and event activity.

The Associate Director is actively responsible for the booking, scheduling, and planning of all major events and activities, including negotiating, creating, and finalizing event contracts and cost estimates, while controlling expenses and determining service and staffing level needs for each event. They provide leadership and direct supervision of professional and student staff, ensuring consistent and exceptional customer service to all.

Venue Management:
  • Responsible for all space scheduling and bookings.
  • Creation and implementation of preventative maintenance and capital project plans.
  • Create, implement, and manage usage guidelines and operational procedures.
Event Management:
  • Responsible for the booking, planning, and execution of all major events; coordinating with venue clients and defining event needs.
  • Negotiate, prepare, and distribute written cost estimates, contracts, and post-event settlement reports.
  • Create layouts, protocols, and supporting documentation for all events, and communicate to appropriate service providers.
  • Determine, implement, and adjust staffing levels for each event.
  • Determine and procure internal and external services for clients.
  • Share in manager-on-duty responsibilities for event-day coordination and execution of all applicable services, including managing staff and venues.
Staff Management:
  • Hire, train, supervise, discipline, recognize, evaluate, and schedule professional staff and student staff.

Required Qualifications

5+ years of relevant management experience in the following:
  • Venue Management, preferably in the sports, entertainment, or higher education field
  • Event Management, preferably in the sports, entertainment, or higher education field
  • Managing and supervising employees
  • Ability to work extended days, evenings, and weekends on a regular basis.
  • Experience and proven track record in working with event producers and event planners.
  • Proficiency with managing revenue and expenses.
  • Portrays the highest level of professionalism in all aspects of daily operations and interactions.
  • Considerable customer service experience interacting with clients and guests in an event venue setting.
  • Ability to engage employees, customers and university officials in a way that creates an environment where customer satisfaction is critical to the success of the operation.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in complex situations with competing priorities.
  • Ability to understand, review, and interpret legal and risk management policies, compliance expectations, and university guidelines and procedures.
  • Ability to manage and maintain confidential and private information and records.
Preferred:
  • Advanced degree in Sport Administration, Sport/Facility Management, Business Administration or related field.
  • High level of efficiency with Event Management Systems (EMS) scheduling application.


Department/College Description

The University Arenas department encompasses the management and operation of the premier event venues at RIT, including the Gene Polisseni Center, Gordon Field House & Activities Center, Lobozzo Alumni House, University Gallery, and the Tait Preserve and Leenhouts Lodge at RIT. Including sales, marketing, promotions, campus wide ticketing, and event planning/management; as well as agricultural operations and property management at the 177-acre Tait Preserve. The 400,000+ square-feet of venues host 400+ events annually with over 300,000 in event attendance.
