Job Description
Under general supervision and with latitude for independent judgement, the Onboarding Manager will be responsible for direct oversight of incoming Residents to Elmhurst Hospital on an annual basis, and will support other Onboarding functions throughout the year. Responsible for managing Onboarding Specialists/Residency Coordinators, and assisting in Facility & Central Office HR Operations related to recruitment, compliance, background, other related HR functions.
General tasks and responsibilities will include:
Minimum Qualifications
1. A Master's Degree with specialization in Personnel Management, Business Administration, Labor Relations, Psychology or Vocational Guidance, and two years of experience in personnel management or personnel administration in a large governmental agency, hospital or healthcare facility or civic organization or business firm employing at least three-hundred employees, one year of which must have been in a responsible administrative or supervisory capacity; or,
2. A Baccalaureate Degree issued from an accredited college or university, and three years of experience as indicated in (1), two years of which shall have been in a responsible administrative or supervisory capacity. (Experience which consists solely of the maintenance of personnel transactions will not be accepted); or,
3. A satisfactory equivalent combination of education and experience.

Job Description

Responsible for managing Onboarding Specialists/Residency Coordinators, and assisting in Facility & Central Office HR Operations related to recruitment, compliance, background, other related HR functions.
General tasks and responsibilities will include:
- Serves as the main point of contact with the Office of Graduate Medical Education (GME).
- Responsible for management and tracking of incoming first year Residents, and reporting on KPIs.
- Onboarding new hires, transfers, civil service processing, data entry, and review of employment documents.
- Partner with Background Investigation Coordinator to ensure all required background checks are completed
- Furnish Residents with Benefits, OHS appointment, and complete onboarding documents.
- Following-up with potential candidates regarding document submission and field any HR related questions.
- Act as the point of contact between the Residents and Program Directors and Coordinators.
- Reviewing onboarding documents for completeness including I-9, E-Verify, and other verifications.
- Review and process employment actions in PeopleSoft (new hires, promotions, salary adjustments, data changes etc.) and send corresponding notification letters. Ensuring tasks are completed accurately and timely; may perform transactional work in the absence of others
Support and supervise other HR staff including double checking qualifications, background, etc. - Ensuring all relevant HR practices and policies are being followed
- Maintaining accuracy and integrity of PeopleSoft (HR system of record for employee data); ensuring all personnel files are maintained including via OnBase system.
- Ensuring all onboarding is done following standard work and policy; including obtaining all relevant clearances as part of background investigation process.
- Contribute to the maintenance of reports, including the recruitment pipeline
Assist with system-wide initiatives including Resident Onboarding and annual promotions - Performing other related confidential duties as assigned, including participation in regulatory surveys
