POSITION SUMMARY:
The Epic Manager oversees all aspects of Epic across departments, ensuring that staff and patient issues are addressed efficiently. In addition, the Epic manager oversees initiatives to use Epic to its full potential and to develop workflows that increase efficiency and decrease waste, duplication, and burden on staff. The Epic Manager will bridge the gap between clinical needs and technical solutions, ensuring seamless integration and functionality of Epic's suite of electronic health records (EHR) and other healthcare IT systems.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Acts as the primary liaison between staff, internal IT teams, CTC and executive leadership. Facilitates communication and collaboration among Epic superusers, builders and IT staff. Manages Builders and prioritizes their projects. Regularly communicates information from management and CTC to staff.
With input from staff, develops and updates written annual plan for Epic, including goals, metrics, and timetables. Prioritizes projects to be carried out by builders and IT staff.
Conducts regular meetings to identify and address any issues, collects user feedback to create plans to implement changes. This includes leading BNHC's Epic committee, serving as one of BNHC's representatives to the CTC Epic steering committee, and working with the BNHC Epic committee to ensure BNHC staff are assigned and receiving invites to CTC Epic workgroups.
Oversees the implementation and integration of Epic system updates and changes. Manages the configuration, customization, and integration of Epic modules (Ambulatory, Willow, Revenue Cycle, MyChart). Ensures interoperability with other healthcare IT systems. Ensures test scripts are completed after upgrades if assigned by CTC.
Designs, coordinates, and delivers training programs for new staff and established staff learning new features. Coordinates ongoing staff support.
Coordinates, develops, disseminates, and supervises implementation of new Epic workflows.
Manager for MyChart, Chart Correction, In basket pools, Epic optimization and administration. Pools include issues Medical, Social and Finance.
Monitors tickets submitted to CTC to confirm they are addressed appropriately. Escalates urgent tickets to CTC. Triages tickets that can be handled locally to internal BNHC staff.
Identifies opportunities for Epic system optimization, leveraging analytics and staff feedback. Develop best practices for system usage and data management. Builds consensus with staff on how to use the system more effectively.
QUALIFICATIONS:
Strong technical acumen, with the ability to translate clinical requirements into technical solutions.
Experience in project management and leadership.
Proficiency in data analysis, reporting tools, and healthcare IT standards.
Bachelor's or master's degree or equivalent work experience in nursing, public health, heath informatics or other related health field with clinical experience preferred.
A good understanding of Epic initially, with a commitment to developing a deep understanding, with certification in Epic modules (Ambulatory, Willow, MyChart) preferred. Epic build/optimization experience preferred.
Ability to collaborate with a multi-disciplinary team, including medical providers, nurses, behavioral health clinicians, finance, and practice management staff.
A commitment to community empowerment; sensitivity to and respect for the cultural differences of the patient population.
Ability to help resolve complex problems by providing their own expertise and calling on the expertise of other team members.
WORKING CONDITIONS:
The Epic Manager works in a community health center in a downtown business district. Long hours are sometimes required.
PHYSICAL REQUIREMENTS:
Physical demands requiring lifting of small pieces of equipment, boxes, and/or assisting with patient lifting, not to exceed 50 pounds. Mostly standing and walking are required. Visual acuity sufficient for frequent reading. Hearing acuity sufficient for holding conversation with or without assistive audio devices.
