Job Summary

Location: Stockton, CA

This is a senior level administrative position responsible for performing advanced, diversified, and confidential administrative duties for project team(s). Plans, controls, and carries out the administrative activities of one or more key result areas, e.g., document control, communications control, file administration, discipline support, or client administrative support. Implements established administrative procedures for the project. May coordinate work between project, departments, plants, and clients. Work involves performing difficult and complex administrative services requiring considerable independent judgement, initiative, and discretion within the Company policies. An employee in this classification acts with wide latitude under minimal supervision, with work results reviewed through the achievement of results desired, and adherence to policies and procedures.

Key Accountabilities

  • Assists safety and environmental teams to ensures compliance with applicable laws, guidelines, and DOT regulations.
  • Direct interface with vendors providing transportations & logistics activities including scheduling of resources.
  • Balance volumes of products produced with available off takers to optimize revenue or minimize expense.
  • Create and assist in drafting contracts related to sales, and purchases to ensure favorable terms and conditions.
  • Maintain organized records and analyze contracts for potential risks associated with contract terms.
  • Provide support, data and documentation for quality assurance audits, technical and client reviews.
  • Maintain effective communication with other project team members, client, and personnel to ensure quality, schedule and budget are met.
  • Plans, organizes, and implements systems for efficient document processing, communication, and the organization of record keeping.
  • Monitors work to ensure effective implementation and compliance to procedures.
  • Compiles information, analyzes and prepares reports, and establishes metrics for administrative activities.
  • Independently researches a wide variety or complex information requests and follows up as needed; maintains confidentiality of sensitive corporate information.
  • Uses advanced skills to create complex word processing, spreadsheets and graphics documents using the MS Office 365 Suite of products.
  • Initiates and prepares correspondence, memoranda, reports, meeting minutes, etc.
  • Travel to vendor locations (up to 10% of time spent away from primary work location).
  • Performs all other related duties as assigned.


Minimum Education & Experience Requirements

  • A high school diploma or equivalent with at least seven years of administrative or project coordination experience with a progression of complexity and skills.


Other Qualifications

Preferred:
  • Comprehensive knowledge of corporate structure(s), organization(s), policies, and procedures
  • Demonstrated proficiency in business correspondence, spelling, grammar, and basic accounting.
  • Possess advanced organizational and time management skills.
  • Advanced knowledge of contract administration.
  • Advanced knowledge of Microsoft Office Suite and intranet/internet research and departmental database management

  • Vision requirements for this position include close vision, color vision, depth perception and the ability to adjust focus


The employee will perform job duties in a business office setting from a climate-controlled office environment, with a moderate noise level, and out at the plant site, where the noise level is moderate to loud. Occasionally be exposed to outdoor weather conditions and extreme heat. Occasionally be exposed to chemicals and odors consistent with waste material. Occasionally work near mechanical moving parts. Occasionally be exposed to fumes or airborne particles. Work in elevated areas. Spend time driving to vendors that are broadly dispersed over a large geographical area.
