JOB SUMMARY: The Site Office Manager is responsible for assisting with general administrative duties and oversight of office operations and project support to the project site.

SALARY RANGE: $71,448.00 - $100,006.40 annually (companywide)

JOB RESPONSIBILITIES:

  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Book business travel arrangements for project employees
  • File and retrieve documents and reference materials.
  • Support team relations by arranging team building events.
  • Order food and drink for project meetings and other events.
  • Order, receive, and put away office supplies and snacks.
  • Decision making and management of budgets and finances as it relates to client, subcontractor and team building events, as well as costs associated with supplies and items for the site.
  • Create and book meetings for the team.
  • Provide overflow administrative services to all departments as needed.
  • Manage project team calendars in Outlook.
  • General office support, including assisting leadership and administrative support teams.
  • Record, transcribe, and distribute minutes of meetings.
  • Maintain onsite kitchen/caf and conference rooms to exceptional standards for clients and colleagues.
  • Answer and manage incoming calls.
  • Receive and interact with incoming visitors.
  • Liaise with internal staff at all levels.
  • Interact with external clients and subcontractors
  • Coordinate project-based work.
  • Review operating practices and implement improvements where necessary.
  • Assist with internal event planning.
  • Other duties as assigned.
  • Scan and save documents as needed.

QUALIFICATIONS:

  • Minimum 1 years' experience providing support at a high level.
  • Reliable and able to be at the jobsite daily
  • Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Office Suite.
  • Knowledge of standard administrative practices and procedures.

While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls. The position requires mobility. Duties involve moving materials weighing up to 10 pounds on a regular basis and up to 25 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
