Benefits Administrator (Regular, Full-Time)

People & Culture

Reporting to the Vice-President of People & Culture, the Benefits Administrator is responsible for the Museum's day-to-day benefits administration and compliance of health and welfare, retirement, leave of absence programs.

Responsibilities:
  • Administers and processes employee benefits and COBRA; conduct Benefits Orientations, support staff with benefits inquiries, communication of benefits and troubleshoot employee benefits billing issues
  • Manages external vendor relationships, including benefit carriers, brokers, and service providers
  • Manages annual benefits renewals including plan design recommendations open enrollment, employee education
  • Manages Wellness Program and all events throughout the year
  • Develops and implements employee communication and intranet updates/posts related to all benefits, wellness programs, and company policy updates
  • Administers pension plan and 403(b)/401(a) and 457(b) retirement savings plans; ensures all compliance documentation is distributed to vested current and former employees, communicates with actuaries, audit cash out calculations and coordinates pension distributions; transmits retirement deposits each payroll; processes changes from employees on 403(b) and 457(b) contributions; prepares all Non-Discrimination Testing
  • Manages/assures accurate and timely preparation of IRS 5500 forms and other required government filings relevant to employee benefits; collaborates with Actuary as appropriate to finalize and publish the various compliance filings
  • Processes audits and annual census reports for SDP
  • Ensures elections and changes are accurately entered and processed. Approve or deny pending transactions based on review of supporting documentation, including review of domestic partner affidavits and court ordered benefits coverage
  • Reviews all vendor error reports and ensure issue resolution with the vendor and ADP
  • Works with carriers on escalated employee issues, including claims resolution
  • Ensures the Museum's leave of absence programs are in compliance with state and federal requirements; communicates policies to employees and coordinates with Payroll; corresponds with employees and their supervisors regarding return to work status, including interactive process meetings; manages invoicing and payment tracking
  • Coordinates worker's compensation claims and follow-through. Is the primary contact for the reporting of work-related injuries; ensures employee receives timely medical attention, as necessary. Coordinates quarterly claims reviews, documents outcomes and plays an active role in managing the status of open claims. Will prepare the Company's annual OSHA reporting for CA. Ensures reports are posted within the stated reporting window
  • Coordinates and organizes employee benefit events including, but not limited to, open enrollment meetings, health and wellness fairs, and blood drives
  • Maintains and updates current employee information for beneficiary, dependent status and worker's compensation claims.
  • Manages Museum's Rideshare program and ensures compliance with the AQMD
  • Oversees employee years of service award program
  • Reconciles and processes billing and invoicing for the People & Culture department; runs budget reports quarterly
  • Partners with HRIS on all benefit integrations with our HRIS System (ADP/HRB) Partner with HRIS to report on Health Care Reform Compliance
  • Monitors Health Care Reform and other legislation to assure compliance and understanding of long term impact
  • Performs other duties or special projects, as assigned

Benefits:
  • The expected annual salary for this Los Angeles, CA based position is $80,000 - $90,000, subject to change, and the position is eligible for LACMA's comprehensive benefits package, including pension plan.

Qualifications:
  • Bachelor's degree in Human Resources Management, Business Administration or related field
  • At least 3 years of human resources experience with a focus on benefits administration
  • Experience managing a consumer driven benefits program (HSA or HRA)
  • Knowledge of the Patient Protection and Affordable Care Act and required mandates
