Position Summary:

The Associate Director of Academic Data, Development and Institutional Effectiveness will report to, and work collaboratively with the Director of Academic Data, Development and Institutional Effectiveness (ADDIE). The Associate Director will be responsible for managing data collection (e.g., queries, surveys, etc.) and database structures related to institutional research functions, analyzing institutional data (e.g., SPSS), and reporting using a variety of visualization tools (e.g., PowerBI, Excel, etc.). The position is also responsible for initiating and resolving systems and data quality issues related to institutional databases used for reporting. This requires working collaboratively with units across the institution to review and evaluate current business practices and identify opportunities for improved efficiency and streaming.

This position will assist in guiding data-driven decision-making, strategic planning, and policy formulation while ensuring the highest standards of data integrity. The Associate Director will support the daily operations of the ADDIE team, contribute to efforts in enrollment management, student learning, assessment, evaluation, student success, program and course evaluation, regional accreditation (e.g., NECHE), and program accreditation (e.g., APA).

Essential Functions:
  • Manages assigned projects and priorities and meets deadlines with high quality work products. Responsible for ensuring that regular data and survey collections, evaluations, assessments, course evaluations, reports, and business process functions are completed in a timely manner.
  • Maintain up-to-date documentation on all projects, processes, reports, and models.
  • Train and collaborate with end users to assure appropriate understanding and skills to utilize data and reports provided by ADDIE.
  • Utilizes and leverages the college's data systems (e.g., Slate, Anthology Student, Snowflake, Razor's Edge, etc.), reporting & analytics tools, and best practices in higher education data analytics to prepare data for Director, other Administrators, and students.
  • Determines data requirements and generates responses for compliance reporting to the federal and state government (e.g., IPEDS, NC-SARA, etc.) and accreditation bodies (e.g., NECHE, APA, etc.).
  • Creates and maintains [VM1] online dashboards of both current and census data, as well as survey data, for college use.
  • Collaborates with other campus leaders to maintain and enhance data integrity. Responsible for ensuring that all data is governed properly with required documentation of technical and non-technical aspects of data collection, maintenance, and applications of how the data is governed across systems and units. Works with IT to create and maintain data dictionary, assign dashboard permission levels, and ensure PII and data security with dashboards and all institutional data. Works with IT on data and reporting needs and solutions.
  • Collaborate in peer institution analysis and benchmarking activities via querying state and national databases, such as National Student Clearinghouse, or internet searches.
  • Leads student workers and temporary workers through daily supervision and instructions
  • Actively participates in continuous improvement efforts. This requires (a) the participation in committees, workgroups, taskforces, and in meetings as needed, serving as an information expert concerning institutional data, their intended use and assist with interpretation; (b) using research and analysis to contribute to institutional guidelines and policies; (c) monitoring progress and evaluating the effectiveness of implemented changes, and recommending adjustments as needed.
  • Work within the guidelines and comply with all ethical, legal and regulatory standards regarding data collection, maintenance, access, dissemination and reporting, as well as retention and final disposition.
  • Coordinate office tasks in the Director's absence.
  • Stay current with important national and regional trends that affect higher education and assist the department and institution with appropriate responses.
  • Performs other related duties as assigned.

  • Qualifications:

    Education and Experience:
  • Master's degree, from a regionally accredited college or university in a social science discipline or closely related field that includes advanced course work in statistics and/or research methodology.
  • Minimum of 3 to 5 years of job-related experience, or equivalent combination of education and/or experience. Will consider candidates with progressive work experience in information gathering, query writing, processing, data analysis, and reporting, and leadership preferably in Institutional Research.
  • Management or leadership experience at a college or university or other experience that demonstrates proficiency with leadership skills and the ability to step into the director role as needed.
  • Familiarity with technology is essential. Knowledge and Experience with the following is highly desirable: ERP Software (e.g., Campus Management's Campus Nexus for Constituent Relationship Management or Anthology Student, Customer Relationship Management (CRM) and Student Information System (SIS); SQL; Microsoft Office (especially Excel, Word, PowerPoint); data analysis software (e.g., IBM/SPSS); online survey/form development and implementation using Qualtrics; visualization software (e.g., PowerBI); course evaluation software (e.g., MyCoursEval), learning management software, LMS (e.g., Canvas); field education software (e.g., Sonia and Time2Track), data warehouse or data lake (e.g., Snowflake).
  • Proven track record of success in project management. Project management involves handling and monitoring every aspect of a project from start to finish. Project management requires a variety of skills which are critical elements of his position: manages time and workload effectively, meets project deadlines, adapts to scheduling and project changes, develops effective work plans, organizes, and implements work plans effectively with minimal supervision, and work product is completed accurately (with few or no errors).
  • Proven track record of success in developing data, research and reports; both quantitative and qualitative; to support college-wide decision making.
  • Experience with institutional research or higher education data reporting requirements (e.g., IPEDS) and accreditation standards is a must.
  • Experience with survey design, administration, analysis, and platforms (e.g., Qualtrics).
  • Experience with technologies associated with collecting, cleaning, recoding, combining, managing, analyzing, evaluating, reporting, and visualizing data (e.g., SPSS, PowerBI, Excel, etc.).

  • Skills, Knowledge, and Abilities:
  • Strong leadership, project management, organizational, analytical, and communication abilities are crucial for collaborating across departments and presenting findings effectively. Additionally, strategic thinking and problem-solving skills are vital for supporting institutional planning and decision-making processes.
  • Understand and apply legal and ethical components involved in conducting research and analysis (e.g., FERPA, human subjects).
  • Strong analytical skills with the ability to collect raw data using various tools and methods, organize, analyze, summarize, and disseminate significant amounts of information with attention to detail and accuracy.
  • Understanding of and/or experience with quantitative, qualitative, and mixed methods research methodology and data analysis.
  • Knowledge of relational databases and experience designing, maintaining and reporting from large databases and multiple tables. Advanced knowledge of data querying and some experience with SQL.
  • Ability to provide technical leadership in an ambiguous environments including the ability to troubleshoot automated processes as necessary and recommend/implement the necessary changes.
  • Proficiency with software products used in statistical analysis (e.g., SPSS, SAS), data manipulation (e.g., MS Access, SQL, Excel), and display (e.g., Tableau, Power BI) including the ability to including to create data displays, pivot tables, use functions to create or recode variables, and to normalize, clean, and merge data.
  • Strong project management and time management skills and the ability to manage multiple competing projects and priorities under time constraints.
  • Strong organizational skills with the demonstrated ability to establish priorities, manage multiple projects, meet deadlines with attention to detail and a high degree of accuracy and integrity.
  • Strong attention to detail and analytical skills.
  • Ability to make independent and collaborative decisions.
  • Ability to maintain collaborative team relationships with peers and colleagues to effectively contribute to the working group's achievement of goals, and to help foster a positive work environment.

  • Basic understanding of relevant technical skills (e.g., statistical techniques - including multivariate techniques and trend analyses, psychometrics, presentation graphics).
  • Sensitivity to organizational dynamics across institutions, across departments as well as across hierarchical levels.
  • Ability to demonstrate tact and diplomacy when dealing with difficult issues and/or diverse organizations.
