Job Summary

Involves performing the administrative services or full general operations of an academic or non-academic organization(s). Administrative services include activities in human resources and department operations, and may also include IT, facilities, real estate, or student services. Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.

This position will report to the department HR Liaison but will have independent interaction with all faculty, postdocs, and staff of an approximate 180+ person department/ORU (Organized Research Unit). This position will be the primary Institute for Neurodegenerative Diseases (IND) HR/Ops team member responsible for all HR-related interactions and transactions associated with the IND Animal Facility/Vivarium, which functions with a budget, leadership hierarchy, and staffing needs unique from other subsections of IND. In collaboration with UCSF HR Shared Services, this position will perform and coordinate a myriad of HR-related responsibilities, mostly involving the IND Animal Facility including: visa applications and renewals, recruiting agency coordination, candidate interviewing and coordination, developing job descriptions, managing appointment milestones, handling appointment transactions, ensuring COVID policy compliance, verifying the accuracy of offer letters and formatting on department letterhead prior to being finalized by HR Generalist, providing salary range information to managers to help with new hire salary analysis, liaising with Payroll to troubleshoot timesheet discrepancies, and training employees on HBS Timekeeping. The individual will also advise Animal Facility supervisors and hiring managers in these areas. This position will analyze and prioritize incoming HR-related inquiries and requests from candidates, staff, students, and faculty, especially for the dept-dedicated Animal Facility. S/he will use sound judgement in determining appropriate action and seek advice from the HR Liaison as needed. The individual will perform departmental HR procedures following university and department policy, using UCSF systems including: People Connect, HBS/payroll, BearBuy, MyExpense, Connexxus, APRecruit/BrassRing, UCPath, Advance, ITFS and UCSF Facilities. The individual must interact effectively with candidates, faculty, staff, visitors and other campus and community representatives, while remaining composed, proactive, resourceful, professional and efficient. S/he must be well organized, flexible, responsive and productive for a large and diverse group. This position will assist the HR Liaison in training future and temp administrative assistants. The individual will cover for the HR Liaison when s/he is away from the office. Must recognize, handle and protect confidential HR-related information

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.05 - $53.50 (Hourly Rate).

Required Qualifications

  • Bachelor's degree in related area and/or equivalent experience/training.
  • One (1) or more year(s) of related work experience.
  • Demonstrated experience working with professional temporary placement agency(s) in an HR-related capacity (i.e., managing recruitments and temp placements).
  • Demonstrated experience with Notion software or related system.
  • Demonstrated organizational skills while multi-tasking under demanding timeframes and changing priorities.
  • Record of accurate transaction experience and assigned task follow-through/timely completion.
  • Demonstrated ability to communicate clearly both verbally and in writing.
  • Demonstrated ability to use discretion and maintain worker information confidentiality.
  • Demonstrated skills in general computer application programs, including Microsoft Excel, Microsoft Office, and Adobe Acrobat.


Preferred Qualifications

  • Two (2) years' experience related to posted job responsibilities.
  • Advanced academic degree.
  • Research-animal facility/vivarium HR-related experience, including demonstrated knowledge of animal technician roles and responsibilities.
  • UC HR-related work experience.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Ability to use sound judgment in responding to worker issues and concerns.
