Summary:

The Mid-Level Project Manager (the "Mid-level Project Manager") is responsible for coordinating specific details within the Project Management Office, as directed by the Director of Project Management (the "Director"). While scope of a project can vary in size, certain activities are common amongst all projects as is the need to coordinate with departmental subject matter experts, or the specific project manager.

The Mid-Level Project Manager coordinates between multiple projects and stakeholders to ensure consistency of inter-departmental communications, essential for project delivery, as well as forward-facing customer communication coordination.

While the Director has a focus on a broader and more strategic range of issues related to project development and delivery, the Mid-Level Project Manager performs tasks which are vital to the Director's ability to deliver key performance indicators and executive strategic goals.

Relationships:
  • The Mid-Level Project Manager is directly accountable to the Director for all day-to-day activities, and specific project needs.
  • Incumbent has frequent contact with consultants, contractors, and ITRCC departmental project managers (subject matter experts).
  • Works with external stakeholders to ensure project consistency, stakeholder relations, and safety.


Responsibilities:
  • Performs all tasks safely, complies with all internal and external safety requirements, supports ITRCC safety culture, attends all safety trainings and completes all compliance trainings as required by ITRCC.
  • Uphold ITRCC's core values: Customer Service, Respect, Excellence, Stewardship and Teamwork (CREST).
  • Help the project managers with administrative duties and processes.
  • Schedule meetings and keep minutes.
  • Participate in coordinating multiple projects of varied sizes.
  • Help in managing some small/medium projects as per Director's guidance.
  • Act as a project coordinator for large projects as per Director's guidance.
  • Break down the project into doable tasks and estimate the duration.
  • Assist with planning, from start to finish of the project. Might serve as the dedicated planner/scheduler for some projects as per Director's guidance.
  • Assist with optimal allocation of resources amongst different projects.
  • Perform project monitoring and controlling activities (scope, budget, schedule, quality, risk, safety).
  • Assist the Director in creating, updating, and maintaining PMO Artifact Library.
  • Prepare and distribute project materials, Implement policies and procedures, and track expenses and work on budget forecast.
  • Report on team and project performance.
  • Report on projects' compliance with PMO guidelines, templates, and procedures.
  • Collaborate on stakeholder presentations while fostering positive relationships with all stakeholders.
  • Assist in maintaining Project Risk Database and Lessons learned Database.
  • Performs other duties as assigned.


Qualifications:
  • Associate or bachelor's degree in project management, business administration, engineering, or a related field required.
  • At least 3-5 years of relevant experience in project development and oversight.
  • Project management certifications (PMP).
  • Knowledge of project management, flowcharts, technical documentation, etc.
  • Knowledge of both waterfall and agile project delivery methods preferred.
  • MS Project tool knowledge required.
  • MS Visio Knowledge preferred.
  • Technical proficiency with industry software and project management software.
  • Demonstrated interpersonal, management and communication skills.
  • Strong oral, written, and presentation skills.
  • Must possess and maintain a valid Driver's License.


Desirable Experience:
  • At least 3-5 years of relevant experience in project development and oversight.
  • Experience with risk assessment matrix and mitigation strategies.
  • Experienced in both construction/engineering and IT fields.
  • Proficiency in Scheduling Software (MS Project or Primavera 6.0).


Must be able to be in-office 5 days a week
