The College of Arts and Sciences has an outstanding opportunity for a Human Resources Department Mgr/Admin to join their team.

The College Arts and Sciences (CAS) Administrative Support Team (AST) began modestly in the fall of 2011. From its first years working with 13 small departments and centers, the team has mushroomed in size, scope, and reach.

The members of the AST team are experts in their fields. They are motivated, intrepid self-starters who also thrive in a collaborative team environment. Each team member gladly shares knowledge, insight, and camaraderie as they strive to meet the most rigorous standards of accuracy, efficiency, and customer service as required by University, state, and federal policies, processes, and laws. These goals are achieved through a regular cadence of continuous process improvement, technical training, and exchange with CAS units and stakeholders University-wide.

As the title implies, the Visa and Academic Specialist works in two of AST's six groups: the Foreign National Visa group and the Academic Services group. The Visa and Academic Specialist is responsible for ensuring that unit-specific needs are met in a timely fashion and that all actions conform to UW, state, and federal policies. Further, the Visa and Academic Specialist answers questions and provides timely, accurate, and reliable guidance on issues related to foreign national visas, faculty appointments, payroll, and personnel issues.

DUTIES AND RESPONSIBILITIES

Visa processing (45%)

  • Serve as subject matter expert on foreign-national visa application policies and procedures for H-1B, J-1 Scholar, J-1 VISIT/VISER, and other pertinent visa types.
  • Establish and maintain smooth, trusted, and supportive working partnerships with central offices.
  • Support College faculty hosts, administrators, and visa applicants throughout the visa process.
  • Coordinate with units to process visa application requests.
  • Help to orient new unit administrative staff in AST workflow tools, policies, and procedures.
  • Assist Visa Supervisor with continuous process improvement activities, including tool and process updates, workflow review and revision, and special projects.
  • Work with visa team to analyze and implement new or updated policies, procedures, and systems.
    Academic processing (45%)
  • Act as an academic human resources adviser and serve as an academic personnel reference for units participating in the Academic Services pilot program.
  • Coordinate renewals/reappointments for all faculty titles and process recommendations in a timely manner based on a strong understanding of the UW-mandated policies regarding appointments and reappointments.
  • Work with the academic services team to develop best practices and monitor activities to ensure compliance and prevent adverse consequences.
  • Manage access to Interfolio. Act as the first level of assistance for chairs and administrators in matters related to Interfolio. Create and manage Interfolio cases as needed.

    MINIMUM REQUIREMENTS
  • Bachelor's degree. Equivalent experience can substitute for any degree requirements.
  • Two years' experience, with increasing responsibility, working within complex organizational structures in education, not-for-profit or government agencies.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
