The Department of English is a community built on curiosity, welcoming students from across the UW - majors and non-majors alike - to deepen their reading and writing skills through a wide array of course offerings that span literary studies, cultural studies, creative writing, and language, rhetoric, and literacy studies. The department has 39 tenured faculty, 13 teaching track faculty and 12 staff.
The Administrator of the Department of English is responsible business planning, financial management, personnel, general administration and other functions as necessary. The Administrator reports to the Chair, acting independently under the Chair's general direction within the University's policies and procedures.
DUTIES AND RESPONSIBILTIES
(40%) Financial Planning, Reporting and Management:
The Administrator manages and monitors all revenue sources including student tuition, summer quarter, gift, grant and self-sustaining funds of approximately $13 million per year.
This includes advising the Chair and Program Directors about endowments and managing endowment earned income and reinvestment as well as creating and submitting the annual Adaptive Plan (Workday) for the department.
Based on the Adaptive plan, run and analyze Workday reports and expense tracking, identify and mitigate variances.
Review HR payroll costing allocations using Workday reports to ensure faculty, staff and students are paid from the appropriate source.
Review department's financial status with Chair monthly and submit financial reports to the Dean's Office as required.
Manage fiscal year end close and ensure department does not have a deficit in any revenue sources.
The Administrator supports pre- and post- award for faculty grants and contracts.
Serves as the ex-officio member of the Department Executive Committee and advises the Chair on budgetary questions.
(35%) Daily department operations:
The Administrator oversees payroll, procurement, travel, IT and facilities.
The Administrator is the chief liaison between the Department and other campus units such as the Dean's Office, Academic Human Resources and general UW Human Resources and other offices.
The Administrator supervises staff who manage course scheduling; advise students in graduate programs; manage faculty searches, reappointments and promotions; manage student scholarships, fellowships and prizes and outreach functions and public events as required.
Manages the Department's Summer Quarter program.
(20%) Supervisory: Supervises eleven staff members:
Assign and monitor work, conduct performance evaluations and initiate corrective action as necessary. Provides professional development and mentoring.
Hire, onboard and train new staff as required.
(5%) Other duties as assigned.
MINIMUM REQUIREMENTS
Bachelor's Degree
Four years of increasing experience related to financial planning, financial reporting and financial management in education, not-for-profit or government setting
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Proficient with Microsoft Office software, including intermediate Excel skills (pivot tables, V-Lookup), MS Teams and Word
Demonstrated experience as a supervisor/manager
Superior administrative, organization and analytical skills, including planning, problem solving and innovation
Strong written, digital, and oral communication skills, including tact, diplomacy and discretion
DESIRED QUALIFICATIONS
Experience in Workday or similar ERP software tool
Ability to work independently, professionally, and proactively with a high degree of reliability and accuracy
Demonstrated collaborative work style and ability to work well and creatively in a diverse workplace
Proven organization, multi-tasking, and prioritization ability in a fast-paced, demanding environment
