This role requires a highly organized and detail-oriented individual with a strong understanding of legal and ethical compliance. The Compliance Specialist will assist in ensuring the company adheres to all relevant laws, regulations, and industry standards.

Responsibilities

The ideal candidate will:

  • Stay up-to-date with relevant ethics and compliance developments, trends, and best practices, and continuously improve legal and ethical compliance.
  • Monitor federal and state level compliance developments and implement policies and procedures to ensure necessary controls.
  • Work in conjunction with HR and Legal to draft and implement company policies, procedures, and systems.
  • Work in conjunction with HR and Legal to manage Affirmative Actions Plans.
  • Work in conjunction with HR and Legal to manage EEOC, VETS and State Level Employment Compliance Filings.
  • Providing advice and leadership in relation to compliance issues that arise.
  • Advising internal management and business partners on the implementation of compliance programs Managing compliance plan and Controls Assurance.
  • Evaluate the efficiency of developed compliance controls and improve them continuously.
  • Develop and deliver compliance training programs to ensure employees understand and comply with applicable laws, regulations, and company policies.
  • Design and develop engaging and effective training materials, including presentations, e-learning modules, and job aids.
  • Deliver training in a variety of formats, including in-person, virtual, and self-paced e-learning, and ensure training is accessible to all employees as needed.
  • Serve as the primary point of contact for employees reporting concerns, ensuring confidentiality and sensitivity throughout the process.
  • Coordinate investigation activities for reported concerns and allegations of unethical behavior or policy violations.
  • Develop and maintain relationships with key stakeholders, including legal counsel, key executive team members, and HR personnel, to ensure effective management of internal reporting and investigations.
  • Ensure compliance with all applicable laws and regulations related to whistleblower protection and reporting requirements.
  • Maintain accurate and detailed records of all reports, investigations, and actions taken to ensure proper documentation and follow-up.
  • Maintain and update document management systems, databases, processes, and procedures to ensure consistency and efficiency in legal document production.
  • Develop and implement document retention policies and procedures in accordance with legal and regulatory requirements, industry standards, and organizational needs.
  • Identify and classify organizational documents and records based on their value, relevance, and legal requirements, and establish appropriate retention schedules.
  • Ensure the timely and secure storage, retrieval, and destruction of documents and records, using electronic and physical record-keeping systems and tools.
  • Conduct periodic audits of document retention practices and procedures and recommend improvements and corrective actions as needed.
  • Provide training and support to employees on document retention policies, procedures, and tools, and ensure their adherence to established guidelines and best practices.
  • Monitor and report on document retention metrics, including document volume, retention compliance rates, and costs, and identify opportunities for optimization and cost reduction.
  • Prepare reports for senior management and external regulatory bodies as appropriate.


Qualifications

Ideal candidates will possess:
  • A bachelor's degree in law, finance, business administration, or a related field
  • 3+ years of compliance experience
  • In-depth knowledge of automotive industry standards and regulations
  • Strong analytical, organizational, and communication skills
  • The ability to work independently and as part of a team
