Job Description

PURPOSE OF POSITION:

The Coordinating Manager for Outpatient Radiology Services plays a pivotal role in managing, organizing, and coordinating the operations of outpatient radiology services. This position involves overseeing patient flow, staff coordination, and ensuring high-quality radiological services while maintaining compliance with health regulations and standards.

SUMMARY OF DUTIES AND RESPONSIBILITIES:

Manage the day-to-day operations of outpatient radiology services.
Ensure efficient patient scheduling, registration, and flow through the radiology department.
Monitor and optimize the utilization of radiological equipment and resources.
Care Coordination and Transition of Care for patients.
Patient monitoring and tracking
Optimize template and scheduling to ensure efficiency of practice.
Team Leadership and Staff Coordination:
Lead and coordinate a team of radiologists, radiologic technologists, and support staff.
Schedule staff shifts and assign duties to ensure adequate coverage.
Conduct staff meetings to discuss operational issues, updates, and improvements.
Quality Control and Compliance:
Uphold the highest standards of radiological practices.
Ensure compliance with all relevant health and safety regulations.
Implement and monitor quality assurance programs.
Patientcare and Services:
Ensure a patient-centered approach in all radiology services.
Address and resolve patient concerns or complaints regarding radiological procedures.
Liaise with other healthcare professionals to provide integrated care.
Administrative Duties:
Manage patient records and documentation related to radiology services.
Assist in budget preparation and control for the radiology department.
Order and maintain inventory of necessary supplies and equipment.
Register and properly accession patients according to type of examination
Schedule and reschedule patient properly and as needed
Prepare documentations for technical exam
Cover subordinates as needed
Upholds patient safety standards as per NPSG's and H+H policy
Maintains time and leave regulations as per H+H and departmental policy
Maintains all patient information (confidentially) according to HIPM compliance standards
Ensure correct order in epic system
Maintain EPIC system with daily report and tracking of outcomes
Maintain PACS system (pertaining to unread examinations)
Maintain EPIC reports (related to their times of reading)
Relay inconsistencies in regard to patient exam to appropriate staff and providers

Track annual mammography outcome (MSQA DOH)
Maintain statistic daily, weekly and monthly in all radiology modalities (departmental measures)
Track cases with error to their final resolution
Maintain customer service expectations according to Gotham standards
Assures staff compliance with all time and leave regulations as per H+H and departmental policy
Assures staff compliance with dress code regulations as per H+H and departmental policy.
Ensure all analog mammography exams are digitized into the PACS system.

Process Improvement:
Continuously assess and improve operational processes for better efficiency.
Implement new technologies and procedures to enhance service quality.
Communication and Collaboration:
Serve as a point of contact for internal and external communications related to outpatient radiology. Collaborate with other departments and external providers to coordinate patient care.
Reporting:
Prepare and present reports on departmental performance, challenges, and achievements. Maintain accurate records for regulatory and compliance purposes.

Minimum Qualifications
1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and
4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or
5. A satisfactory equivalent combination of education, training and/or experience.

Note: Certification or licensure may be required.
