Position Summary:

Duties andResponsibilities:
- Oversee the daily operations of the Office of Medical Education, ensuring that administrative processes are running efficiently.Lead and provide daily management of a team of staff professionals in the OME.
- Coordinate cross-training efforts among staff to improve service delivery while delegating evolving job responsibilities and ensuring staff are well-equipped to deliver seamless services across all areas of the OME.
- Perform ongoing performance evaluations and professional development of staff, and address performance management issues in accordance with institutional policies.
- Oversee the planning and execution of OME sponsored events including but not limited to graduation, White Coat Ceremony, etc.
- Manage health insurance verification process for all medical students, ensuring compliance with institutional and external policies, while staying updated on policy changes and working closely with relevant departments to ensure all students meet the necessary insurance requirements for the SOM.
- Serve as primary point of contact to request and ensure security access to SOM buildings and VCUHS for all students and OME team.
- Proactively address and resolve facility-related issues that could impact the student experience or office efficiency.
- Create and execute a comprehensive continuous improvement plan for the office that includes assessing current workflows and processes, identifying areas for enhancement, setting measurable goals, and implementing strategies to optimize efficiency.
- Coordinate the annual office planning calendar by developing a comprehensive schedule that outlines key programs and events, deadlines, and meetings for the year.Collaborate with leaders from other SOM offices and OME team members to gather pertinent information and ensure the calendar is regularly updated and communicated to students, faculty and staff.
- Manage all financial aspects of the Office of Medical Education, including tracking and reporting expenditures, oversee the student and faculty reimbursements process, and ensuring compliance with institutional financial policies.In coordination with the deans, oversee the budget process, including developing, monitoring, and adjusting line items to ensure alignment with departmental goals, providing financial analysis and recommendations to address budgetary needs and constraints, and addressing any discrepancies or issues related to budget management.
- Coordinate the recruitment, hiring, and training of all staff positions within the OME, working closely with human resources as needed.
- Coordinate with the SOM Communications Team to ensure public facing webpages are regularly updated and reflect current information.
- Maintains yearly activity reports for the OME and external stakeholders
- Perform other duties as assigned
Qualifications
Preferred Qualifications
- Master's degree, preferably in Human Resources Management or Business Management
- 3 to 5 years of experience in an academic or health system
Minimum Qualifications:
- Bachelor's degree or equivalent experience, along with 3 to 5 years of relevant work experience.
- Supervisory experience combined with several years of progressively responsible work experience.Demonstrated experience including, but not limited to: performance management and professional development of staff.
- Experience in budget oversight, including anticipating budgetary needs, and the proactive management and allocation of financial resources while monitoring expenditures.
- Strong written and verbal communication skills, coupled with excellent interpersonal abilities and a proven track record in relationship building. Demonstrated capacity to collaborate effectively across all levels and with diverse groups of institutional partners.
- Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
