Position Title: Director of Operations- MUST BE BASED IN CALIFORNIA.

Job Summary: The Director of Operations is responsible for the day-to-day operational efficiency of the company. As the Director of Operations, the growth and productivity of the administrative and clinical teams will be a priority while maintaining quality of services. The Director of Operations will report to the CFO/COO.

Job Duties:
  • Manage patient experience from being a referral up until appointment time with clinician for a multi-disciplinary, multi-site medical organization
  • Oversee the intake and referral process, and client waitlist
  • Manage client waitlist strategically, working with COO to determine clinician hiring needs and/or geographic location needs
  • Proactively oversee authorization management to ensure patients are seen with proper authorization and reduce retroactive billings
  • Oversee the scheduling department and ensure accurate and efficient scheduling of clients and clinicians
  • Create and manage processes for active cancellation management, reducing open slots in provider's schedules and maximizing utilization
  • Maintain and consistently improve patient intact SOPs, creating an environment of consistent improvement.
  • Monitor administrative and clinical KPIs and provide support when needed
  • Create and/or improve operational procedures based on market trends and applicable data
  • Responsible for meeting and exceeding budget targets
  • Monitor and oversee data entered in the EMR system to ensure billing accuracy
  • Participate strategic planning alongside the CFO/COO


Knowledge, Skills and Abilities Required:
  • 2-3 years of operations experience in the healthcare field (preferably in a management or director level role)
  • Ability to work both independently and in a team environment
  • Excellent problem-solving skills
  • Ability to work with large set of data, and analyze; Advanced Excel Skills preferred
  • Ability to manage in-person, and remote team members
  • Ability to communicate effectively with staff and business partners
  • Effective interpersonal skills and the ability to lead various teams across departments
  • Excellent verbal and written communication skills
  • Be highly flexible and have excellent time management skills
  • Be highly collaborative, team-oriented and customer service driven.


Licensing/Credential and/or Education Requirements:
  • Degree from an accredited university (preferably in business administration or similar)

Physical Requirements:
  • Ability to stand, walk, and sit frequently or for prolonged periods of time.
  • Lifting/carrying/pushing/pulling up to 25 pounds.
  • Stooping/crouching, reaching/handling/fingering, talking/hearing conversations, and near/far visual acuity/depth perception/color vision/field of vision.
  • Ability to run for brief periods of time to maintain client safety
