Key Responsibilities:
- Oversee the daily operations of the Patient Access team across multiple locations, ensuring efficient scheduling, patient registration, and insurance verification processes.
- Lead, train, and mentor a team of Patient Access Representatives, fostering a collaborative and results-driven environment.
- Monitor and analyze key performance indicators (KPIs), identifying opportunities for improvement in processes related to patient intake, wait times, and overall satisfaction.
- Ensure adherence to company policies, procedures, and regulatory requirements, including HIPAA compliance.
- Collaborate with clinic managers, the billing department, and clinical staff to resolve issues related to patient access, authorizations, and billing.
- Develop and implement standardized patient access protocols and best practices across all locations.
- Work closely with IT and system administration teams to optimize and maintain scheduling and registration systems, ensuring functionality and accuracy.
- Address escalated patient issues, complaints, or concerns in a timely and professional manner, striving to enhance patient experience.
- Manage staff scheduling, workload distribution, and performance evaluations, ensuring adequate coverage and productivity.
- Identify and implement improvements to reduce patient wait times and streamline the check-in/check-out process.
- Support expansion efforts by onboarding new locations and ensuring alignment with Patient Access standards.
- Monitor and control department budgets, resources, and staffing needs.
- Prepare and deliver regular reports on department performance to senior management.
Qualifications:
- Bachelor's degree in Healthcare Administration, Business, or a related field (Master's preferred).
- 5+ years of experience in healthcare management, preferably in a patient access, revenue cycle, or clinic operations role.
- Experience managing multi-site operations, preferably in vascular surgery or a related medical specialty.
- Strong leadership skills with experience in managing teams across multiple locations.
- In-depth knowledge of patient registration, insurance verification, and billing processes.
- Familiarity with electronic health records (EHR) and practice management software.
- Excellent problem-solving, communication, and organizational skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong understanding of healthcare regulations, including HIPAA compliance.
