SUMMARY: The Clinical Flow Manager will provide clinical supervision and training to the Medical Assistant team, coordinate clinic flow to ensure optimal patient experience and efficient flow of clinic appointments, and oversee clinical programs, including the organization's Vaccination Program and Infection Control Program.

DUTIES AND RESPONSIBILITIES:

Essential functions with all nursing teams include, but are not limited to:

  • Clinical Oversight: Provides oversight to the clinical functions of the Medical Assistant team.
  • Develops a strategic plan for the medical assistant program at NACC to optimize patient flow and outcomes, ensuring that all team members are conducting work at the highest licensure level.
  • Oversee medical assistant tasks, assisting with improving efficiency and flow to each area. Conducts medical assistant tasks as backup, such as rooming patients, cleaning exam rooms, and processing lab orders.
  • Closely watches the patient schedule across all providers to ensure efficient flow of scheduled appointments, walk-ins, and patient complexity.
  • Program Development:
  • Develop, implement, and oversee all aspects of Medical Assistant program including policies/procedures, staffing, and program optimization.
  • Serves as the Infection Control Officer for the organization, ensuring policies and workflow support optimal infection control practices in accordance with the Centers for Disease Control guidelines.
  • Oversees and coordinates the MnVFC Vaccination Program.
  • Team Management and Development:
  • Empower staff to improve care delivery and outcomes. Promote shared responsibility for patient care processes among team members.
  • Translate organizational goals into actionable steps for the team to execute as well as work to define clear team goals.
  • Demonstrates excellence in leadership with staff: team facilitation, motivation, team building, training, coaching, change management, and goal setting. Leads by example by maintaining a personal standard of conduct and performance expected from employees
  • Lead, manage, and support each individual on the team.
  • Develops staff skills and encourages growth; solicits and applies feedback (internal and external); fosters quality focus in others; improves processes and services; continually works to improve supervisory skills.
  • Serves on the management team and shares responsibility for fiscal, medical, and administrative stewardship of the organization, including compliance, risk management, and quality improvement programs. Participates in departmental planning efforts.

  • SUPERVISORY RESPONSIBILITIES:
    • Directly supervises employees within the medical assistant team within the Medical Clinic.
    • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
    • Frequently shadows each staff's work to ensure competency and consistency across workflows. Conducts regular 1:1 with each staff member to ensure each has the form of support that supports improvement in their performance and well-being at work.
    • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems


    QUALIFICATIONS:
    • Bachelor's degree in Nursing (B.S.N.)
    • At least two years working as a Medical Assistant highly preferred
      • Minimum of 5 years of clinical nursing leadership experience, with a focus on working with underserved populations, chronic disease management, community outreach, and/or addiction/substance use disorders.
    • Displays high skillset in recognizing emotions of self and others while also facilitating a sense of calm in challenging situations.
    • Basic competence in duties and tasks of supervised employees.
    • Excellent verbal and written communication skills.
    • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
    • Ability to work independently and as a member of various teams and committees.
    • Acute attention to detail.
    • Ability to deal effectively with a diversity of individuals at all organizational levels.
    • Good judgement with the ability to make timely and sound decisions
    • Demonstrated ability to plan and organize projects.
    • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
