Job Responsibilities
The Director of Facilities Management will oversee the maintenance, safety, and operations of all 15 clinics across the state. This role requires a proactive, strategic approach to both day-to-day facilities management and long-term planning to ensure operational efficiency and budget adherence. The Director will also ensure compliance with health and safety regulations, manage vendor relationships, and lead a team of four facilities professionals.
Facility Operations & Maintenance
- Oversee daily facility operations for all 15 clinics, ensuring clean, safe, and fully functional environments.
- Develop, implement, and monitor preventive maintenance programs to reduce operational downtime and extend dental and facility equipment life.
- Ensure compliance with local, state, and federal health, safety, and environmental regulations.
- Act as the point of contact for emergency situations, including coordinating timely response to repairs, system failures, or incidents at clinics.
Team Leadership & Development
- Lead and manage a team of four facilities professionals, providing guidance, training, and performance evaluations.
- Foster a collaborative and proactive team culture focused on high-quality service and efficient problem-solving.
- Assign tasks, monitor progress, and ensure the team is responsive to both routine and urgent maintenance needs.
Strategic Planning & Project Management
- Develop and implement long-term facilities plans, aligned with the organization's growth objectives, that anticipate future needs and infrastructure improvements.
- Lead and manage construction, renovation, or expansion projects, ensuring they are completed on time, within scope, and on budget.
- Collaborate with leadership to assess future facility needs and integrate them into the organization's strategic plans.
Budget & Vendor Management
- Develop and manage the annual facilities budget, including capital expenditures and operating costs.
- Track and analyze facility-related expenses, identifying opportunities for cost-saving initiatives.
- Manage vendor relationships, including negotiating contracts, overseeing service quality, and ensuring vendors meet all compliance and performance standards.
- Oversee procurement of materials, supplies, and services required for facility operations.
Proactive Risk Management
- Identify potential facility risks and implement mitigation strategies to minimize operational disruptions.
- Conduct regular inspections of all clinic locations to identify and address maintenance or safety concerns before they escalate into larger issues.
- Stay current with industry best practices and emerging trends to ensure optimal facility management strategies.
Technology & Systems Management
- Oversee the use of facility management software, ensuring the accurate tracking of work orders, maintenance logs, and asset management.
- Implement new technologies or systems that enhance efficiency, safety, and cost-effectiveness in managing the organization's facilities.
Job Requirements
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field (or equivalent experience).
- 5-7 years of experience in facilities management, with at least 3 years in a leadership role.
- Experience in managing multi-site operations, preferably in healthcare, dental services, or a similarly regulated industry.
- Strong understanding of building systems (HVAC, electrical, plumbing, etc.) and maintenance processes as well as dental equipment.
- Proven experience in budget management and cost control.
- Demonstrated success in strategic planning and long-term project management.
- Strong leadership and team management skills, with the ability to motivate and develop staff.
- Excellent communication, organizational, and problem-solving abilities.
- Familiarity with facility management software and tools.
