Seed-funded executive coaching startup is looking for an Executive Assistant to support the two Co-Founders. This is an exciting opportunity to join a small, high-performing team of 5, dedicated to making a significant impact on the leadership journeys of Founders. You will provide critical support to the Co-Founders by managing calendars and communications, ghostwriting communications, coordinating and managing client/coach operations, and event planning. Someone who can handle high-level executive communications with exceptional organizational skills and the ability to work in a fast-paced environment. This is a fully remote role working in EST hours. 90-110K+ DOE + benefits, equity, 401k, and flexible PTO!

Responsibilities:
  • Manage communications with coaches and founders. Coordinating introductions, scheduling meetings, and debriefs.
  • Organize check-in calls with clients and manage contracts. Oversee and manage payments and invoices.
  • Oversee payments for coaches and maintain CRM with additional information.
  • Track and manage communications with investors and founders, ensuring timely follow-ups.
  • Ghostwrite emails and memos, ensuring tone and messaging align with the Founders' and organizations' tone.
  • Plan and coordinate founder dinners, AMAs, office hours, and other events. Assisting with venue selection, vendor management, outreach, guest lists, and other event logistics.
  • Conduct detailed research on investors, founders, and event attendees to identify leads and new business opportunities.
  • Manage key documents such as outbound metrics, expense reports, and coach payment schedules.
  • Ad hoc projects and tasks such as documenting key processes, adding LinkedIn connections, and updating operational systems.


Qualifications:
  • 3+ years of experience as an Executive Assistant or in a similar role, ideally in a fast-paced environment.
  • Proven ability to handle high-level executive communication, event planning, and scheduling.
  • Familiarity with early-stage startups and the ability to deliver measurable results.
  • Expertise in executive communication, with the ability to craft professional and impactful messaging.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
  • A self-starter who works well independently and can operate effectively with minimal oversight.
  • Excellent written and verbal communication skills, with a strong command of professional tone.
  • Highly proficient with tools such as Google Workspace, Slack, Justworks, and CRM systems (Hubspot preferred).
