Representative Duties
The Division Manager is a professional, managerial position responsible for overseeing the Tampa Division Clerk's Office including intake, docketing, appeals, courtroom operations, case administration, records management, quality control, jury administration, statistical reporting, court reporter coordination, finance, procurement, and space and facilities. With the assistance of an Operations Supervisor, the Division Manager is also responsible for policy implementation and monitoring, long-range planning, staff training, and staff development. As a representative of the Clerk of Court, the Division Manager is responsible for coordinating all activities involving courtrooms and related matters; reviewing work performed by deputy clerks; ensuring implementation of standardized procedures; coordinating work assignments by staff; evaluating work performance; and recommending personnel actions. The Division Manager provides support to six district judges, five senior district judges, seven magistrate judges, and one recalled magistrate judge.
This position reports to the Court Services Manager. Occasional travel is required.

Minimum Qualification Requirements
Candidates must possess a minimum of six years of previous work experience including professional, administrative, or technical experience, and a minimum of three years of supervisory, or management experience that provided an opportunity to gain skill in developing interpersonal work relationships required to lead employees, the ability to exercise mature judgement, and knowledge of concepts of management and the ability to understand the managerial policies applicable to the United States District Court. Must possess outstanding leadership, organizational, project management, and human relations skills, as well as excellent written and oral communication skills.
A bachelor's degree in business, public, or judicial administration, or related field is preferred. Federal Court experience is desirable.

The Division Manager's responsibilities include:
- Manage, develop and mentor the Tampa Division Clerk's Office personnel. Foster and maintain an environment that promotes high morale, productivity, accurate work, and customer service.
- Frequent consultation with employees, supervisors, and judges to ensure efficient operation of the divisional office. Implement, monitor, and adjust long-range schedules, priorities and deadlines for the completion of work assignments. Establish work procedures for the Clerk's Office staff in the Tampa Division. Monitor compliance with established performance standards and delegate work fairly and consistently. Coordinate work and leave schedules. Hold regular staff meetings to ensure effective communication regarding policies and procedures.
- Communicate office procedures to supervisors, unit executives, judges, and chambers staff. Ensure supervisory and office coverage through effective delegation of authority. Reallocate personnel and equipment to cover workload fluctuations. Solve work-related problems using approved court policy and procedure.
- Respond to requests from management with regard to divisional operations and proactively keep managers well-informed. The incumbent acts as a liaison between the Clerk's Office and the district and magistrate judges, attorneys, agencies, and the public.
- Interact effectively with the public and staff, providing excellent customer service and resolving difficulties efficiently while complying with regulations, rules, and procedures. Handle complex and sensitive matters with judges, managers, unit executives, supervisors, and court staff, while maintaining confidentiality.
- Work closely with the Clerk, Chief Deputy, Court Services Manager, and other managers to create and implement policies and procedures to improve case flow, courtroom services, and general operations. The incumbent provides direction and leadership to the staff, and advises staff on all management strategies, goals, and objectives.
