Job Description

The Senior Director of Business Planning & Administration supports two important units within the Office of Ambulatory Care. In their reporting to the Deputy Executive Director, they are responsible for overseeing internal office administration, developing and maintaining office budgets, and managing project business plans within the Office of Ambulatory Care and Population Health. In addition, they will have a reporting relationship to the Senior Assistant Vice President of Ambulatory Care Operations and support the highest priority enterprise-wide initiatives to ensure that they are executed efficiently and effectively.

General tasks and responsibilities will include:

Business Planning & Administration

Financial Management and Budgeting:
Assist in developing annual budgets in collaboration with senior management
Support business plan modeling for Office of Ambulatory Care initiatives
Monitor approved budgets and work with department leaders to explain variances
Collaborate on creating financially sustainable staffing models for primary and specialty care services
Liaise between vendors and NYC H+H accounts payable department for payment inquiries
Timely oversight and management of cash flow and payment of departmental invoices.
Track and support finance and legal departments in procurement, contracting and departmental grants management.

Human Resources and Staffing:
Support the facilitation of office efforts with Human Resources and Finance in creating new staffing lines or reorganizing teams
Assist in managing staffing, safety, and labor concerns for employees within the Office of Ambulatory Care
Manage the Affiliate process, ensuring all paperwork is completed and filed timely.
Contribute to addressing performance management issues and monitoring plans of correction

Strategic Initiatives
Create plans and manage progress for high-priority projects within the Office of Ambulatory Care.
Oversee and operate shared repositories, including the Ambulatory Care SharePlus and DnA Producer websites, for disseminating key enterprise-wide resources, policies, protocols, reference tools, and key points of contact.
Participate in relevant committees and workgroups; develop presentations, prepare reports, data, or other materials for committee presentations as needed.
Develop shared resources for ambulatory facility leadership and front-line staff to ensure best practices across the system.
Work directly with facility leadership to support the implementation of best practices and collect regular feedback on encountered barriers.
Conduct regular surveys of facility leadership and front-line staff regarding policies, collate responses, and develop plans to address next steps.
Develop presentations for executive leadership.
Assist the Chief of Staff and support the executive office leadership with related duties and special projects as assigned.
Represent the Senior Assistant VP for designated initiatives when necessary.

Reporting and Communication:
Prepare and present reports on departmental activities, budgets, and strategic initiatives to the Deputy Executive Director and Senior Assistant Vice President
Ensure effective communication flow between the office and other departments or external stakeholders

Minimum Qualifications
1. Master's degree from an accredited college or university in Healthcare Administration, Health CarePlanning, Business Administration, Public Administration or a related discipline; and seven (7) years ofprogressively responsible experience in health and medical service administration, public administration,personnel and labor relations, finance or appropriate functional discipline with an emphasis on planning,liaison and inter-organizational relationships, or related administrative or managerial functions; or
2.Bachelor's degree from an accredited college or university in disciplines, as listed in "1" above; and eight(8)years of progressively responsible experience in areas, as listed in "1"; or
3.Satisfactory equivalent combination of education, training and/or experience. However, all candidates must have a minimum of a Bachelor's degree in disciplines, as listed in "1" above.

Excellent analytical, problem-solving, and project-management skills
Proven ability to work collaboratively in a complex organizational structure
Strong communication and interpersonal skills
