Description:

Hospice of the East Bay (HEB) is a community-based hospice and palliative care program providing services in the home and at our six-bed Hospice facility for terminally ill patients and those in need of palliative care. Care is given to patients and families by an interdisciplinary group. Bereavement care is provided to the family for a minimum of one year after the death. Hospice and palliative care offer a sponsored care program to provide services regardless of patient's ability to pay.

Reporting to the Director of Information Technology & Facilities, the Clinical Systems Administrator is responsible for overseeing the management and optimization of clinical and operational software systems used across the organization. This includes electronic medical records (EMR), document management platforms, and other critical software applications. This position ensures that these critical systems align with organizational workflows while ensuring seamless support to internal users. The Clinical Systems Administrator will diagnose and resolve technical issues, oversee system updates, and provide 24x7 on-call support to address emergencies, ensuring uninterrupted patient care and operational efficiency.

Essential Functions
  • Serve as the primary liaison between clinical departments and IT to ensure alignment of software solutions with clinical workflows and regulatory requirements.
  • Lead the implementation, optimization, and upgrading of clinical applications, ensuring minimal disruption to patient care.
  • Conduct needs assessments with Hospice East Bay Directors to identify gaps and opportunities in current software utilization.
  • Develop and maintain comprehensive documentation, including training manuals, troubleshooting guides, and best practices for clinical applications.
  • Provide technical support to internal users, diagnosing and resolving complex software issues, and escalating to vendors as necessary.
  • Provide 24x7 on-call support, including nights and weekends, to address urgent software issues and ensure uninterrupted patient care.
  • Create, maintain, and analyze reports to support operational and clinical decision-making.
  • Assist in the design and delivery of customized training programs for staff, ensuring optimal use of clinical applications and enhancing user proficiency.
  • Oversee the Help Desk operations for clinical applications, ensuring timely resolution of support requests and continuous improvement of services.
  • Collaborate with vendors to evaluate and recommend new software solutions that align with organizational goals and budget constraints.


Leadership Responsibilities
  • Mentor and guide the IT and clinical applications support team, fostering a culture of continuous learning and innovation.
  • Collaborate on projects involving cross-functional teams to integrate new applications or enhance existing systems, utilizing project management methodologies.

Qualifications
  • Bachelor's degree in Computer Science, Information Technology, Healthcare Administration, or a related field. Equivalent work experience will be considered.
  • Minimum of 5 years of experience in clinical or operational software systems in a healthcare setting, with a strong preference for hospice or palliative care experience.
  • Proficiency in electronic medical record (EMR) systems and healthcare data analysis. Experience with SQL and healthcare-related software solutions is highly desirable.
  • Demonstrated expertise in IT project management, including large-scale implementations or migrations.
  • Strong problem-solving, critical-thinking, customer service and communication skills.
  • Ability to work collaboratively with multidisciplinary teams in a fast-paced environment.
  • Knowledge of HIPAA compliance and other healthcare regulations related to technology.
