Summary

The Receivables and Billing department ensures that APCO has received accurate and complete funding for all contracts sold. A close partnership with both our agents in the field and dealership personnel drives success.

The Director of Operations Receivables and Billing will lead the Accounts Receivables and Billing & Payables departments for the company. They will directly manage teams focused on the deposit, application and collection of funding and customer support. The Director will execute the operational objectives for the department in a manner that supports the overall direction of APCO Holdings.

Essential Duties and Responsibilities
  • Champion a continuous improvement mindset and propose, design, and/or implement innovative solutions to increase the efficiency and compliance of the department.
  • Oversee a Billing & Receivable team responsible for invoicing, timely collection of payments, reconciliation of discrepancies, and contacting clients for payment resolution.
  • Manage an Accounts Receivable team responsible for the deposit, receipt and application of incoming funds, and performance of company audits as needed .

  • Identify and take action on problem accounts, facilitating collections and coordinating with legal when necessary.

  • Ensure quality control checks are performed to confirm accuracy of all completed by team.
  • Communicate status, progress, and project plans to internal and external stakeholders for all large scope billing or receivables projects.
  • Remain current on state/territory regulations and issues as well as industry activities and trends and ensure compliance with all state and federal and guidelines.
  • Proactively collaborate with leadership from appropriate internal departments to ensure efficiency of the processes for all areas of business processing.
  • Design, develop, and lead a process improvement focused on enhancing the throughput and efficiency of the department.
  • Drive for superior dealer, lender, customer experiences and continuous improvement through the development and implementation of initiatives involving human capital, processes, and technology.
  • Lead, inspire and motivate the team to execute, track progress, monitor results, and continuously improve to achieve goals and meet SLA's.
  • Setting goals for performance and deadlines that comply with APCO's Core Values.
  • Provide guidance, coaching and direction to professionals through a continuous process of active engagement.
  • Conduct monthly 1:1s with Manager for continued coaching and performance monitoring.
  • Conduct yearly performance evaluations of all team Managers.
  • Approve PTO ensuring department responsibilities maintained and approve timecards.
  • Maintain a depth of knowledge regarding facets of the business to include online systems, claims, financing, vehicle information, and general product knowledge.
  • Identify emerging issues and trends that may have substantial impact on APCO's profitability and business results.
  • Build, develop, and lead team of direct reports.

Education and Experience
  • High School Diploma or GED required.
  • Bachelor's degree in business administration, finance, management, or a related field required.
  • A minimum of 7 years' experience working in accounts receivables, billing or similar role.
  • A minimum of 5 years' experience in a leadership capacity.

Skills
  • Advanced proficiency in the Microsoft Suite including Word, Outlook, and Excel.
  • Successful leadership experience with a focused approach to dealer, lender, and customer satisfaction and the capacity to motivate, influence, and develop a large team.
  • Dedicated to understanding and meeting stakeholder needs, both inside and outside the company.
  • Must have persuasive verbal and written communications and exceptional interpersonal skills.
  • Strong decision-making and critical thinking skills within guidelines of company procedures and the ability to apply principles of logical and scientific thinking to a wide range of problems.
  • Ability to effectively develop and execute workforce management principles with metrics for effective operational performance.
  • The ability to demonstrate conduct conforming to a set of values and accepted standards and to engage in productive work relationships with a variety of personalities and individuals.
  • Must have strong time management skills and the ability to organize and complete work within a given deadline following a systematic method of performing tasks.
  • Demonstrated ability to successfully hire, train, develop, and coach staff via a culture of real-time performance feedback.
  • Adept at building both technical and leadership skills in their team.
  • Requires the ability to maintain confidential information.
  • Ability to travel as needed.

Physical Demands
