Commercial real estate firm servicing healthcare professionals is looking for an Executive Assistant to support their CEO. This is an exciting role with lots of growth potential for someone interested in real estate and M&A, who wants to join a fun, tight-knit team. In this dynamic role, you will act as a thought partner to the CEO to maximize his impact across various business and personal initiatives through calendar and task management, client services and communications, research, and special projects. Someone with strong client service skills who can expertly prioritize and move projects forward. Previous experience in M&A, legal, or investment banking is a plus! This is a primarily in-office role 4 days/week based in Austin. 90-100K+ DOE + fully covered health benefits, 401k with matching, flexible PTO, and fun company-wide retreats and outings!

Responsibilities:
  • Provide support and act as a thought partner to the CEO.
  • Proactively organize and prioritize calendar and schedule to maximize the Executive's time.
  • Manage and organize a dynamic and ongoing list of tasks across personal and business needs.
  • Serve as a central point of contact for internal and external communication, managing emails, filtering inquiries, and relaying responses.
  • Support M&A transaction management, CRM management, reporting, and real estate management in partnership with the Executive and team to keep things maintained and organized.
  • Coordinate with other employees and stakeholders on behalf of the CEO.
  • Maintain documents, spreadsheets, and presentations across various tools such as Google Drive, CRM, and other platforms.
  • Book travel arrangements as needed for the CEO and other team members.
  • Organize events and maintain professional relationships with local companies and external partners.
  • Conduct online research and interact with entrepreneurs and clients in various capacities.
  • Initiate and manage projects to completion, working collaboratively with other team members as needed.
  • Provide personal assistant support (15-20%) to the CEO to coordinate with service providers, book appointments, and travel.
Qualifications:
  • 5+ years of experience as an Executive Assistant supporting a senior executive, preferably in legal, investment banking, or high-performing real estate environments.
  • Strong client-facing and stakeholder management skills.
  • High energy, positive attitude, and hyper-responsiveness to tasks and communication.
  • Exceptional organizational skills and a high level of attention to detail.
  • Proactive and confident, with the ability to dig into issues, take initiative, and manage tasks independently.
  • Highly adaptable, capable of balancing personal and professional responsibilities seamlessly.
  • Ability to thrive in a fast-paced environment and take ownership of outcomes.
  • Comfortable with occasional travel (less than 4 times a year, no more than 2 nights per trip).
