JOB SUMMARY:

As a Capital Projects Manager you will play a critical role in overseeing the coordination of product manufacturing, scheduling, technology integration, and contractual matters within customer project specifications. Acting as the primary liaison between the company and the client, you will manage all aspects of project execution to ensure adherence to contractual agreements, timelines, and quality standards.

Your responsibilities will include facilitating communication between internal teams and the client, addressing any issues or changes in project scope, schedule, or specifications. Additionally, you will be responsible for monitoring and reporting on project progress, quality control measures, and any deviations from the agreed-upon project plan.

JOB DUTIES AND RESPONSIBILITES:

  • Oversee and manage project budgets, ensuring alignment with financial targets and objectives.
  • Analyze project profitability, margins, bill rates, and utilization to optimize financial performance and identify areas for improvement.
  • Follow up with clients, as necessary, regarding unpaid invoices, ensuring timely payment and adherence to contractual agreements.
  • Ensure all project legal documents are completed and signed, maintaining compliance with regulatory requirements and contractual obligations.
  • Ensure project documents are complete, current, and stored appropriately, facilitating efficient access and retrieval as needed.
  • Confirm all client changes, including change orders, AutoCAD drawings, or other support documents, to validate price changes or schedule variations, maintaining transparency and alignment with project scope.
  • Facilitate internal team and client meetings effectively, fostering collaboration, communication, and alignment on project objectives and deliverables.
  • Resolve and/or escalate project issues in a timely fashion, ensuring prompt resolution and mitigation of risks to project success.
  • Communicate difficult or sensitive information tactfully, maintaining professionalism and positive relationships with clients and stakeholders.
  • Possess a general understanding in areas such as application programming, database, and system design relevant to client project formats and USAI project schedules/cost formats, enabling effective project oversight and decision-making.
  • Directly involved in daily review of manufactured goods and adherence to client specifications, ensuring quality standards are met and client expectations are exceeded.
  • Maintain awareness of new and emerging technologies and their potential application in client engagements, identifying opportunities for innovation and efficiency improvements.
  • Manage day-to-day client interaction, communicating effectively to identify needs, evaluate alternative solutions, ensure customer satisfaction, and deepened client relationships.
  • Continually seek opportunities to increase customer satisfaction and deepen client relationships, building a knowledge base of each client's business, organization, and objectives to offer tailored solutions and insights.
  • Review clerical documentation of change orders, control documents, meeting notes, and compliance audits, ensuring accuracy, completeness, and adherence to company protocols and standards.
  • Oversee clerical reconciliation of sales order acknowledgments, invoices, transportation, and other areas requiring paper audit trails for USAI accountability, identifying areas for process improvement and efficiency gains.
  • Execute various tasks, as assigned by your manager, supervisor, or company officer, whether within your standard duties or as requested beyond regular responsibilities.

QUALIFICATIONS:

Education
  • Bachelor's degree or equivalent in mechanical engineering, business administration, or project management preferred.

Work Experience
  • 5+ years of operations experience in project management, preferably with project P&L experience in the manufacturing industry.

Skills
  • Demonstrated expertise in CRM and ERP systems, as well as Microsoft Word, PowerPoint, and Excel, enabling efficient data management, reporting, and presentation creation.
  • Strong verbal and written communication skills, coupled with adeptness in delivering persuasive presentations and conducting effective negotiations to foster positive client relationships.
  • Proven ability to set ambitious goals and consistently meet or exceed them, with a track record of driving sales growth and achieving targets in dynamic business environments.
  • Skilled in resolving conflicts and addressing challenges with diplomacy and professionalism, fostering collaborative solutions to ensure smooth operations and customer satisfaction.
  • Ability to quickly grasp and effectively communicate technical information related to mechanical products and their applications, facilitating informed discussions and enhancing customer interactions.
  • Strong leadership qualities, including the ability to inspire and motivate teams to excel, foster a positive work culture, and drive collective achievement of organizational objectives.
  • Proficient in analyzing data and market trends to inform strategic decision-making, identify opportunities for growth, and optimize sales strategies for maximum impact and profitability.
