The Economics and Private Sector Development Vice Presidency (CEDVPU) ensures a consistent focus on development results across IFC's operations. We produce economics research reports related to private sector development, on topics that include climate, trade, digitalization, and financial market development; conduct development impact assessments for all IFC projects and report on IFC's development outcomes; provide independent economic analysis and oversight to all IFC's operations; and lead IFC external partnerships and blended finance operations.
CEDVPU has 3 departments: (i) Development Impact Measurement (CDI); (ii) Economics and Market Research Department (CER); and (iii) Partnerships & Blended Finance (CBF).
The Senior Executive Assistant will support the Vice President and Front office team by managing executive and administrative tasks, coordinating activities, and organizing VPU workflow. Key success factors include leadership, teamwork, prioritization, organization, flexibility, high-level logistical and administrative support, sound judgment, ACS staff motivation and initiatives, adherence to best standards, excellent tech skills, discretion, and diplomacy.
Specifically, the Senior Executive Assistant's responsibilities include but are not limited to the following:
Duties and Responsibilities:
Provide a full range of executive assistance support, including high-level administrative and organizational support to the Vice President and to work seamlessly as a member of the team.
Ability to lead and coordinate VPU Front office meetings, workflow or activities and manage VP's calendar and ensure quality assurance of relevant background materials, briefs, binders are available for meetings.
Manage end-to-end logistics for the VP missions, including travel arrangements mission registrations and briefs.
Coordinate logistics for official events, townhalls, conferences, and seminars, including Board meetings, COP, UNGA, IDA PSW meetings and World Bank Group/IMF Annual and Spring Meetings, ensuring all logistical aspects are flawlessly executed.
Deal tactfully and effectively with staff at all levels and senior external contacts, in person or on the phone and on email.
Maintain filing and record management for the front office weekly folders, including Business cards, and share point documents.
Provide leadership, guidance and lead on-the-training needs and initiatives to the VPU ACS staff.
Exercise sound judgment, a proactive attitude, resourcefulness, reliability, and high degree of adaptability.
In collaboration with HR, support in Front office recruitment processes, scheduling interviews, and oversee onboarding processes for new staff, ensuring confidentiality in handling candidate information.
Serve as TRS and LARS coordinator, ensuring accurate and timely reporting in addition to procurement card reconciliation.
Establish effective working relationships with other Senior Executive Assistants for MD's office, VPs and other directors.
Any other task as relevant to the VP's office.
Selection Criteria
In addition to the WBG core competencies, the successful candidate must possess:
1. A bachelor's degree in Business administration or relevant subjects with 5-7 years of relevant experience or equivalent combination of education in Private sector and successful previous experience in working in a Front office is an advantage
2. Project and task management - Able to lead, organize, coordinate, monitor and implement tasks, multitask in a fast-paced environment. Demonstrates ownership and accountability for results. Demonstrates a positive can-do attitude, calm demeanor, and ability to maintain a clear head under pressure and work independently.
3. Excellent interpersonal and intercultural communications skills - Maturity and ability to interact responsively and thoughtfully with staff at all levels, with demonstrated good judgment, discretion and ability to maintain confidentiality.
4. Technology and systems knowledge: Excellent knowledge of Microsoft Office applications and proficiency in technology or computer software systems relevant to functional area and other office technology (e.g., MS Office Tools, Admin Portal, e-consultant, SAP, Webex, Teams, LARS, Travel, etc.)
5. Knowledge of PCard management, Vendor contracts and frugal usage and reconciliation of PCard within WBG standards; willingness to learn new programs and applications as needed.
6. Extensive knowledge of the organizational structure, Institutional policies, processes, and procedures - Demonstrates in-depth and up-to-date knowledge of WBG administrative and policy guidelines, products, and services; specifically, IFC policies and procedures.
7. Collaborate Within Teams and Across Boundaries - Proven ability to promote and work in a team-focused environment and ability to develop professional networks to improve effectiveness.
8. Lead, Innovate and Motivate - Proven ability to lead a team of ACS and work effectively in a team-oriented environment through initiatives, motivating and increasing efficiencies and compliance to policies
9. Problem Solving and Agility: thorough understanding of problem solving, select course of action and use insights for next course of action.
