About the Job
We are seeking a proactive and detail-oriented Site Operations Lead to oversee and coordinate the daily operations of office facilities across multiple locations. This role is responsible for ensuring smooth and secure site operations, maintaining office infrastructure, and supporting security, health, safety, and compliance initiatives. The Site Operations Lead will act as the primary point of contact for site-specific issues, visitor management, and space optimization while providing leadership and coordination to site leads at other locations.

This position will be based at the Dallas, TX or Columbia, MD offices, with occasional travel required to other company locations. The role may involve occasional standing, lifting, and moving supplies or equipment. The ideal candidate will be proactive, highly organized, and possess the ability to manage both strategic and day-to-day operations across multiple sites.

This role is responsible for ensuring smooth and secure site operations, maintaining office infrastructure, and supporting security, health, safety, and compliance initiatives. The Site Operations Lead will act as the primary point of contact for site-specific issues, visitor management, and space optimization while providing leadership and coordination to site leads at other locations.
Duties and Responsibilities
- Site Operations and Maintenance:
- Oversee the maintenance, repair, and functionality of office facilities, equipment, and infrastructure.
- Manage routine and urgent maintenance tasks, ensuring compliance with safety regulations and company policies.
- Serve as the primary contact for maintenance and infrastructure issues to minimize disruptions.
- Security and Visitor Management:
- Implement and oversee security protocols, including clearance management, access controls, and visitor logs.
- Conduct initial security orientations, entry/exit inspections, and destruction of classified materials as needed.
- Coordinate with the Facility Security Officer (FSO) to ensure compliance with security policies.
- Space Planning and Site Preparation:
- Optimize office space usage in collaboration with department heads.
- Prepare office spaces for meetings, events, and conferences, ensuring necessary equipment and resources are in place.
- Coordinate office relocations, furniture reconfigurations, and workspace adjustments.
- Health, Safety, and Compliance:
- Ensure compliance with local, state, and federal health, safety, and environmental regulations.
- Conduct regular safety inspections, maintain emergency action plans, and ensure fire and safety equipment is operational.
- Develop and enforce safety protocols and evacuation procedures.
- Vendor and Contractor Management:
- Manage relationships with external vendors and contractors, ensuring service quality and cost-effectiveness.
- Negotiate contracts and oversee vendor performance, scheduling, and payments.
- Budget and Cost Control:
- Develop and manage the facilities budget, tracking expenses and identifying cost-saving opportunities.
- Prepare and submit budget reports, ensuring alignment with organizational financial goals.
- Team Leadership and Coordination:
- Lead, train, and mentor site operations staff, fostering a high-performance team environment.
- Provide guidance and support for daily operations and special projects across multiple locations.
- Sustainability Initiatives:
- Promote and implement sustainable practices, including energy efficiency and waste reduction.
- Ensure compliance with environmental regulations and corporate sustainability objectives.
- Administrative and Miscellaneous Support:
- Maintain logs and records for access control, safes, and document handling.
- Support security awareness and education programs.
- Perform additional administrative tasks as directed by leadership.
- Other duties as assigned.
Required Qualifications
- Bachelor's degree in Facilities Management, Business Administration, Security Operations, or a related field (or equivalent work experience).
- 5+ years of experience in facilities management or site operations, with 2+ years in a leadership role.
- Knowledge of building systems, security protocols, and maintenance procedures.
- Strong organizational, problem-solving, and decision-making skills.
- Excellent communication and leadership skills, with the ability to manage cross-functional teams and interact with all organizational levels.
- Proficiency in Microsoft Office Suite and familiarity with facilities management software.
- Experience with budget management and cost control.
- Knowledge of health, safety, and environmental compliance standards.
- Strong attention to detail and proactive approach to issue resolution.
