SUMMARY JOB DESCRIPTION:The Senior Manager oversees fleet and facilities operations across all locations. Provides essential support to the Service and Construction teams by ensuring that all vehicles and trailers are in excellent operating condition. Manages day-to-day operations of all physical premises, ensuring that the facilities meet the needs of our employees and comply with health and safety standards. Develops and manages a team both in San Diego and Phoenix. Travel requirements up to 20%

ESSENTIAL JOB FUNCTIONS:
  • Fleet management (NOTE: no in-house repairs)
  • With a small team, manage all aspects of keeping 120 Class 2 through 5 vehicles and 20 small trailers on the road. Detailed team responsibilities include:
    • Ensure response to driver vehicle issues 24/7.
    • Coach drivers with emergency breakdowns and assist in procuring tow trucks for emergencies. Coordinate retrieval of drivers after breakdowns.
    • Responsible to ensure all smog tests and registrations are renewed in a timely manner and tags are applied to vehicles.
    • Ensure all vehicles have proper documents on board.
    • Manage DMV Pull Notice Program.
    • Manage annual DOT inspections.
    • Manage Clean Vehicle Check program.
    • Manage United Carrier annual registration.
    • Manage CARB fleet requirements and rosters.
    • Manage truck washing and vehicle detailing as necessary.
    • Maintain vehicle first aid kits and fire extinguishers.
    • Evaluate, schedule, and deliver vehicles to various vendors for repair.
    • Manage the Enterprise Repair Portal and repair approval process.
    • Purchase and/or lease vehicles working with dealers and Enterprise representatives.
    • Manage vehicle graphics installation.
    • Work with Insurance Agents and provide data as necessary.
    • Perform lead role in recording and investigating vehicle accidents to their conclusion of liability and repair.
    • Conduct vehicle inspections and train drivers.
    • Manage fuel card ordering and distribution and audit fuel purchase invoices.
    • Assist various departments in managing GPS and Dash Cam systems.
    • Provide relevant vehicle data reports to Management Team.
    • Knowledge of vehicle OEM maintenance schedules is critical.
    • Participate in all safety teams and meetings.
    • Work closely with HR regarding driver new-hires, terminations, policies and procedures to ensure company assets are protected.
  • Facilities management
  • Oversee the coordination and monitor activities related to maintenance, cleaning, and security for all facilities.
  • Develop and implement maintenance schedules for equipment, systems, and infrastructure.
  • Ensure rapid response to emergency situations or disruptions of services and facilities 24/7.
  • Manage relationships with Facilities lessors, contractors and service providers.
  • Manage Company video security systems and provide quick access to requests for video history.
  • Oversee the procurement and inventory of supplies and equipment necessary for facility operations.
  • Assist with space planning and office moves, including managing renovations and building projects.
  • Manage budgets related to facilities maintenance and improvement.
  • Manage all related environmental decrees and hazardous materials on property.
  • Maintain proper records for regulatory agency inspections.
  • Team leadership and management
  • Lead and supervise a team, setting goals and objectives, delegating tasks, monitoring performance, providing feedback, resolving issues, managing budgets, ensuring compliance with company policies, and fostering a positive work environment.
  • Oversee team daily operations and maximize team performance to achieve organizational goals.
  • Other tasks and special projects as determined by Management.


EXPERIENCE AND ABILITIES:
  • Must have a high school diploma or general education degree (GED).
  • Minimum of 5 years or work experience in a fleet or facilities capacity strongly preferred.
  • Minimum of 5 years of work experience managing a team.
  • Strong written and verbal communication skills.
  • Familiarity with industry-specific regulations and compliance.
  • Proactive and analytical mindset with ability to interpret sales data and market trends.
  • Ability to problem solve and make decisions in a way that is thorough yet efficient.
  • Detail oriented.
  • Good team player; must have a good attitude and be approachable.
  • Customer-oriented.
  • Ability to work autonomously, and as a team; self-motivated.
  • Proven history of being reliable and dependable.

JOB SAFETY REQUIREMENTS
  • Follow and promote all safety protocols during work hours while working, driving, loading, lifting, moving any tools, equipment, furniture, or storage units.
  • When required, wear safety boots and other Personal Protective Equipment (safety vest, safety glasses, noise protection, fall protection, etc.).
  • Participates in the monthly Field Safety Meetings and in the Safety Business Committee. Works with Safety Consultant representative(s), Human Resources, and Safety Manager.

ESSENTIAL PHYSICAL DEMANDS:
  • Ability to repetitively lift, carry, push, pull up to 50-lbs., frequent bending, stooping, and standing 8-10 hours per day.


TRAVEL REQUIREMENTS: Up to 20%.
